Foot Fix, a busy Halifax podiatry clinic, is seeking a full time Podiatry Office Administrator who is the key connection between the clinic and its patients.
Required Duties Include, but Are Not Limited To:
- Patient Reception — Welcome and check in patients, act as a central point of information, and support smooth, timely movement of patients through the clinic.
- Customer Communication — Provide timely, professional handling of incoming patient calls and messages, ensuring accurate follow-up. Support clinic operations by coordinating appointment reminders and patient communications.
- Scheduling and Correspondence — Ability to use and navigate online healthcare scheduling system in partnership with clinicians. Proficiency with common office software and digital tools are required. Comfortable navigating new technologies and adapting to evolving digital tools. Prepare outgoing correspondence for external partners as need arises.
- Financial Administration — Manage invoicing and payment processing by collecting payments through the POS system and submitting direct billing to insurance providers where applicable. Reconcile daily transactions using QuickBooks, and support accounts payable functions, including processing bill payments.
- · Compliance & Safety — Ensure proper sterilization of medical instruments in strict accordance with clinic protocols, maintaining high standards of infection control. Adhere to clinic policies by maintaining accurate records and completing all required compliance documentation.
- · Clinic Operations & Support — Collaborate with clinicians to ensure clinic supplies and equipment are adequately stocked and coordinate restocking as needed.
Support overall clinic cleanliness through light cleaning duties such as vacuuming, mopping, and maintaining an organized, tidy workplace.

Education and Experience
- Completion of Diploma in Office Administration
- Relevant experience in medical office settings is considered an asset
- Familiarity with Jane App is highly desirable
Work Location: In-person at our West End Halifax clinic, Monday–Friday with an early morning start time. No evenings or weekend required.
- Compensation and Benefits: Compensation will be based on experience
Pay: $21.00-$24.00 per hour
