The Blossom Group (Cherry Blossom Farm, Apple Blossom Village, and Blooming Acres) is seeking a highly skilled Executive Assistant to the President & Chief Operations Officer, to be an integral part of a busy, dynamic, and growing program. We provide a home for people with complex special needs.

Position Summary

The Executive Assistant to the President & Chief Operations Officer is a senior-level administrative professional who provides high-impact executive support within a complex, multi-site human services organization. This role goes beyond traditional executive assistance and functions as a strategic administrative employee, supporting executive decision-making, organizational workflows, central intake coordination, and special projects.

The successful candidate is a highly experienced professional who thrives in environments requiring discretion, initiative, systems-thinking, and adaptability. This role plays a key part in strengthening executive effectiveness, modernizing administrative processes through the progressive use of AI, and supporting cross-functional initiatives across the organization.

Roles and Responsibilities:

Executive & Strategic Support

- Provide comprehensive, confidential executive support to the President and COO, anticipating needs and proactively managing priorities.
- Manage complex executive calendars, scheduling, briefings, task tracking, and follow-up actions.
- Prepare executive correspondence, presentations, reports, and briefing materials.
- Coordinate executive meetings, including agenda development, minute-taking, action tracking, and follow-up.




- Serve as a key liaison between executive leadership and external parties.

Workflow, Intake & Central Administration Support

- Support and coordinate central administrative functions, including elements of client intake, documentation flow, and inter-departmental coordination.
- Assist with the development, documentation, and continuous improvement of administrative workflows.
- Support digitization efforts and standardized processes using tools such as SharePoint, Microsoft Forms, task management platforms, and AI-driven administrative tools.
- Ensure consistency, accuracy, and timeliness of documentation flowing through executive and central administration.
- Communicate with community partners.
- Provide coverage for vacation and leave of absences for the Program Administration position.
- Other administrative duties as assigned.

Project & Special Initiative Management

- Support or lead special projects on behalf of the Directors, President, and COO, including research, implementation planning, and progress tracking.
- Apply project coordination or project management methodologies to ensure deliverables stay on schedule.
- Assist with cross-departmental initiatives that require structured coordination and executive oversight.

AI-Enabled & Modern Administrative Practices

- Actively use and support the progressive adoption of artificial intelligence and automation tools to enhance administrative efficiency, reporting, scheduling, and document management.
- Identify opportunities where AI and digital tools can streamline executive, intake, and administrative workflows.
- Support training or adoption of up-to-date administrative tools across the administration team, as appropriate.

Communications & Social Media Support

- Support organizational communications initiatives as directed, including maintaining executive-facing content.
- Assist with managing and coordinating organizational social media presence, calendars, and content oversight (not content creation-heavy, but coordination and quality control).
- Monitor and flag reputational, branding, or communication issues for executive awareness.

Human Resources & Governance Support (Asset Area)





- Provide administrative support related to HR initiatives, policy reviews, compliance documentation, and workforce-related projects.
- Support executive-level HR planning activities, presentations, and reporting as required.
- Maintain strict confidentiality and professionalism in all matters related to personnel and governance.

Qualifications:

Required

- Minimum 5 years of experience providing executive-level administrative or senior administrative support to Directors, Executives, or Senior Leadership.
- Post-secondary degree or diploma (mandatory) in:
- Business Administration
- Public Policy
- Human Resources
- or a closely related field
- Demonstrated experience managing complex calendars, competing priorities, and confidential information.
- Advanced proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, SharePoint, Forms).
- Exceptional organizational, communication, and judgment skills.
- Demonstrated use of AI or automation tools in administrative or operational contexts.

Assets

- Master’s degree (e.g., MBA, MPA, MA in related field).
- Background or professional experience in Human Resources.
- CHRP or CHRL designation.
- Project Management certification (e.g., PMP, CAPM, or equivalent).
- Experience supporting executive leadership in healthcare, human services, or multi-site organizations.
- Experience with administrative workflows, intake coordination, and process improvement.
- Experience supporting or managing organizational social media and digital presence.

Working Conditions:

- Office-based role within a Group Home with occasional travel between program locations (Simcoe County).
- Standard business hours with some flexibility required for project deadlines or scheduled events.

This position has pay scale of $63,000.00 - $73,000.00.
