Position Overview
nOur team of six Family Medicine Specialists is offering a unique opportunity for a dedicated Office Manager to join our growing clinic on a full-time, permanent basis. This role is ideal for a professional who thrives in both hands-on and leadership responsibilities. The Office Manager will be instrumental in establishing and overseeing clinic operations within a patient-centered healthcare environment.n
Key Responsibilities The Office Manager will initially help with clinic launch followed by overseeing clinic operations, people leadership, financial administration, and day-to-day problem solving to ensure a smooth patient and provider experience.

Clinic Operations
n
n
- Oversee daily clinic operations to ensure efficient, and timely service.
n
- Primary contact for staff scheduling and payroll/benefits administration.
n
- Maintain and support EMR systems; provide basic IT/EMR user support and troubleshooting.
n
- Monitor workflows, remove barriers, and optimize resources to improve access and service quality.
n
- Coordinate facility cleaning/maintenance and liaise with landlords, vendors, and service providers.
n
- Manage procurement and inventory for medical/office supplies and equipment.
n
- Resolve operational patient concerns and escalate to physicians as appropriate.
n
- Support financial tracking and reporting (A/R, expenses, cost vs. revenue).
n
- Other duties as assigned.
n
nPeople Leadership & HRn
n
- Manage staffing schedules, vacation planning, and daily coverage adjustments.
n
- Coordinate payroll and timekeeping administration.
n
- Support recruitment, onboarding, and offboarding.
n
- Maintain orientation and training processes; identify ongoing learning needs.
n
- Facilitate staff meetings and promote a collaborative, patient-focused culture.
n
- Support conflict resolution.
n
- Maintain job descriptions and clinic policies.
n
- Conduct staff check-in's along with performance management and evaluations.
n
nQuality, Compliance & Safetyn
n
- Identify and communicate operational risks, issues, and improvement opportunities to leadership.
n
- Promote continuous improvement and consistent clinic policies/processes.
n
- Ensure compliance with applicable regulatory requirements.
n
- Oversee quality reporting and internal performance metrics.
n
- Maintain and improve clinic safety protocols and practices.
n
- Opportunity for quality improvement research initiatives.
n
nExperience & Educationn
n
- Three to five (3-5) years of experience in office management or administrative leadership (healthcare preferred).
n
- Post-secondary education in business or health administration (or equivalent combination of education and experience).
n
- Demonstrated leadership experience with the ability to coach and mentor staff.
n
- Knowledge of the New Brunswick healthcare system is considered an asset.
n

- Strong computer proficiency, including EMR systems and MS Office.

- Excellent documentation skills and attention to detail.

- Strong communication and interpersonal skills.

- Proven problem-solving and conflict resolution abilities.

- Proficiency in English is required; French is an asset.

nSchedulen
n
- This position requires on-site availability Monday through Friday from 8:00 a.m. to 4:00 p.m. (excluding evenings, weekends, and statutory holidays).

- The clinic is located at 386 William Bell Drive, Hampton, NB.
