Job Overview

The Brand & Marketing Coordinator exists to execute, organize, and coordinate Conestoga’s brand and marketing activities so the company presents itself consistently, professionally, and on time across all internal and external touchpoints.

This role is is a hybrid role of graphics design, content creation and social media execution.

The Brand & Marketing Coordinator supports the company’s marketing efforts by managing day-to-day graphics design creation, and execution across social media, newsletters, client gifts, branded materials, website coordination, events, and agency follow-up. This role helps maintain a strong and consistent brand presence while keeping marketing tasks moving on schedule.

The person in this role will work closely with leadership, sales, operations, and external marketing partners to coordinate deliverables, maintain brand standards, and support company growth through consistent execution.

- Sales, recruiting, and leadership are supported with current and skilled marketing materials
- Client and team-facing brand experiences are thoughtful, polished, and well executed

Key Responsibilities

1. Brand Coordination and Execution

- Maintain and support a rolling 90-day brand and marketing calendar
- Coordinate priorities, timelines, approvals, and deliverables across marketing activities
- Help ensure all materials reflect Conestoga’s brand standards, voice, and presentation quality
- Keep brand assets, files, templates, and resources organized and accessible
- Support consistency across printed materials, digital channels, presentations, events, and internal communication

2. Graphics Design, Client Gifts and Brand Touchpoints

- Design, source, assemble, and coordinate the distribution of client gifts




- Support thoughtful customer appreciation and branded touchpoints throughout the year
- Track gift inventory, timing, delivery, and presentation quality
- Help ensure gifts and touchpoints reflect Conestoga’s brand standards and customer experience goals

3. Social Media Coordination

- Build and maintain a content calendar for company social channels
- Create, schedule, and publish social media content
- Coordinate gathering of photos, videos, project highlights, team stories, and customer-facing content
- Monitor comments, messages, and engagement, and escalate items requiring follow-up
- Support both customer-facing and recruiting/culture-related content

4. Newsletter and Company Communications

- Build and distribute the company newsletter on a regular schedule
- Draft and design internal and external communications
- Coordinate content collection from leadership and teams
- Maintain communication templates, contact lists, and distribution accuracy
- Support seasonal announcements, promotions, reminders, and company updates

5. Graphic Design and Branded Materials

- Create graphics and branded materials for internal and external communication
- Build and maintain company stationery, templates, handouts, signage, and collateral
- Support branded sales materials, recruiting materials, event materials, and presentation assets
- Ensure all materials are current, clean, professional, and aligned with company standards

6. Website, SEO, and Agency Coordination

- Coordinate routine website updates with the external marketing agency
- Gather internal inputs, submit requests, track progress, and follow up on deliverables
- Support administration of Google Ads and SEO activity by organizing information, approvals, and internal communication
- Help leadership stay informed on campaign progress, updates, and agency deliverables
- Ensure website content remains current, accurate, and aligned with company priorities

7. Events and Brand Experience

- Design, organize, and coordinate internal events such as BBQs, Christmas parties, appreciation lunches, and team celebrations
- Coordinate external events such as home shows, mall booths, and community marketing events
- Manage timelines, signage, printed materials, giveaways, setup items, and event logistics
- Help ensure all events are on-brand,



well organized, and professionally executed
- Coordinate post-event follow-up and lessons learned where appropriate
- Facilitate and organize all our community events:
- Maple Syrup Festival
- Elmira Night Santa Clause Parade
- Elmira Touch a Truck
- School Tractor Rides
- EVFF Donations
- Food Drives etc.

8. Sales and Marketing Event Support

- Coordinate materials and logistics for sales and marketing events
- Prepare brochures, booth materials, signage, branded giveaways, and display assets
- Support lead capture organization and follow-up coordination after events
- Help ensure Conestoga shows up professionally and consistently at external events

Qualifications

- 1 to 3 years of experience in Social Media Marketing, Adobe Illustrator, Graphics design portfolio, Canva, Adobe Photoshop
- Strong organizational and time management skills
- Strong written communication skills
- Good visual judgment and attention to detail
- Ability to coordinate multiple tasks and deadlines at once
- Ability to work independently while collaborating with several teams
- Comfort working with external vendors and agency partners
- Must have a valid G insurable license.

Preferred Skills

- Experience with Canva, Adobe Express, or similar design tools
- Experience with social media scheduling platforms
- Familiarity with email newsletter platforms
- Basic familiarity with websites, SEO, and Google Ads administration
- Strong working knowledge of Microsoft 365 or Google Workspace
- Experience in Photography and media (We have a firm currently hired but it would be an asset to fill gaps)
- Experience in landscaping, construction, trades, or home services is an asset

Work Arrangement Note

This is a hybrid role with a minimum of 3 days per week in office. In-office time is important for collaboration, event coordination, content gathering, team connection, and maintaining a strong understanding of the company’s culture and brand.

Job Type: Full-time

Pay: $50,000.00-$60,000.00 per year

Work Location: Hybrid remote in Elmira, ON
