Immigration.ca / (CCIRC) Inc. · Fully Remote · Canadian Immigration Law

About the role
Immigration.ca is at the cutting edge of Canadian immigration law. We move quickly, run a tight ship, and we’re looking for an organized, client-focused Client Onboarding Specialist to help us keep it that way. This is a hands-on, fully remote role at the center of how our files begin. You’ll act as the primary client contact during the crucial document-collection and file-preparation stage. You will work across several systems at once, reviewing records for completeness, maintaining accurate trackers, and serving as the connective link between clients, the Onboarding Team Lead, and the Legal team. If you’re highly organized, strictly detail-oriented, and excellent at guiding clients through complex requirements without missing a beat, you’ll fit right in. What you’ll do Client communication & file management
- Act as the primary contact for assigned clients, explaining the onboarding process, expectations, and next steps in clear language.
- Send document requests, answer routine questions, and relentlessly follow up until the required information is received.
- Copy the designated shared inbox to preserve continuity and maintain ownership of the file through onboarding, correction, and resubmission. Document collection & rigorous review
- Identify the applicants, direct lineage, and applicable document requirements, collecting the minimum required documents for each connecting generation.
- Confirm records are complete, legible, and obtained from acceptable issuing authorities or official sources.
- Cross-check names, dates, places of birth,

and relationships across all forms and supporting documents to identify inconsistencies, name changes, or evidentiary gaps. System tracking & checklists
- Keep Monday.com, Visto, Google Drive, Family Tree tools, and applicable rolling checklists (including C3 trackers) current.
- Maintain sufficient, clear file notes so another authorized team member can quickly understand the status and next steps without reconstructing the history. Escalation & Legal handoff
- Escalate unavailable records, material inconsistencies, and proposed deviations to the Onboarding Team Lead (ensuring no independent legal decisions are made outside established standards).
- Confirm all checklist requirements are satisfied, complete the Onboarder sign-off, and send organized, substantially complete files to Legal.
- Address any deficiencies returned by Legal and manage the client-facing correction process. What we’re looking for You’ll thrive here if you have:
- 2+ years minimum in a Canada-based legal, immigration, or administrative support role. Experience in client onboarding, immigration, legal services, document review, or a comparable case-coordination role.
- Impeccable written and verbal English communication skills.
- A genuine eye for detail, precision,

and a commitment to getting things right when reviewing names, dates, relationships, and document quality.
- Confidence working in Google Workspace (Gmail, Drive) and a knack for quickly picking up case-management tools like Monday.com, Visto, and Family Tree platforms.
- A talent for staying organized when multiple client files, follow-ups, and competing deadlines demand your attention.
- Sound judgment when handling confidential information and knowing exactly when to apply standardized procedures versus when to escalate to a Team Lead. Nice to have
- Familiarity with Canadian immigration processes, direct-lineage (C3) files, and IRCC procedures.
- Experience inside a law firm or other regulated professional-services environment. What you’ll get
- Compensation: to be determined, based on experience.
- A collaborative team of 15+ lawyers, consultants, and core management that actually has your back.
- Exposure to Canadian immigration files and legal processes with a noted leading online entity in the industry — excellent ground for growing your career.
- Remote office
- work from wherever you do your best thinking.
