About North Arbor Dental

North Arbor Dental is a modern, patient-focused dental practice in Kitchener, Ontario, providing general dentistry, Invisalign, dental implants and cosmetic dentistry.

We are looking for an experienced, compassionate and highly organized Dental Treatment Coordinator who enjoys connecting with patients and helping them navigate their dental care with confidence.

Our team values professionalism, genuine patient care, attention to detail and dependable follow-through. We are seeking someone who brings both administrative expertise and a warm, reassuring approach to every patient interaction.

Position Overview

As our Dental Treatment Coordinator, you will be an important link between our patients and clinical team, helping ensure a smooth experience from the initial consultation through treatment planning, financial arrangements and follow-up.

You will work closely with the dentist and other team members to coordinate recommended treatment, explain fees and insurance estimates, organize appointments and address patients' administrative questions.

This position is ideal for an experienced dental professional who works confidently and independently, communicates clearly and takes pride in creating a positive patient experience.

Key Responsibilities

- Coordinate dentist-recommended treatment plans and appointments for general, Invisalign, implant and cosmetic dentistry.
- Help patients understand treatment-related administrative information, fees, financial arrangements and insurance estimates.
- Verify dental insurance benefits, prepare and submit claims and predeterminations, manage coordination of benefits and follow up on outstanding claims.
- Maintain accurate treatment plans, patient accounts, appointment information and communication records using Dentrix.
- Support patients in making informed decisions, answer administrative and financial questions, and refer clinical questions to the dentist.
- Provide thoughtful,

timely follow-up while respecting each patient's individual circumstances and treatment decisions.
- Collaborate closely with dentists, hygienists and administrative staff to coordinate patient care and maintain efficient scheduling.
- Welcome patients professionally and assist with reception, telephone inquiries, payments and other administrative responsibilities when needed.
- Maintain patient confidentiality and follow applicable privacy requirements.

Required Qualifications

- Minimum 3 years of relevant experience in dental administration, dental reception or treatment coordination.
- Proven, hands-on Dentrix proficiency — MANDATORY. Applicants must be able to use Dentrix independently for patient records, scheduling, treatment plans and financial/insurance workflows. Experience with other dental software alone does not meet this requirement.
- Robust dental insurance knowledge — REQUIRED, including claims, predeterminations, benefit verification and coordination of benefits.
- Confidence discussing treatment fees, financial arrangements and patient accounts.
- Excellent verbal and written communication skills.
- Strong organizational skills, accuracy and attention to detail.
- A friendly, professional and patient-centred approach.
- Ability to manage multiple responsibilities independently while collaborating effectively with the dental team.

Additional assets:

- Experience in a dedicated Dental Treatment Coordinator role.
- Familiarity with Invisalign, dental implants or cosmetic treatment coordination.

What We Offer

- Competitive base wage of $30–$35 per hour, based on experience and demonstrated proficiency.
- Quality-based performance bonuses: We reward precision,

not pressure. We recognize exceptional Dentrix accuracy, dental insurance proficiency, thoughtful patient communication and dependable follow-through. Your expertise and consistent performance deserve recognition. Bonus eligibility and earning criteria will be provided in writing with the employment offer.
- A supportive, professional and collaborative team environment.
- Modern, well-equipped dental facilities with advanced digital technology.
- Opportunities for continued learning and professional development.
- Paid time off in accordance with applicable employment terms.
- Dental care benefits, subject to eligibility.
- On-site parking.

Work Schedule Full-time and part-time opportunities available.
