Reporting to the Director of Compliance (PRM), the Maintenance & Technical Services Administrator provides administrative and coordination support to the Maintenance Department.
This role supports the productive operation of maintenance activities through the administration of technical records, maintenance databases, departmental documentation, compliance-related processes, and maintenance projects. Working closely with maintenance management and key stakeholders, this individual ensures accurate recordkeeping, supports regulatory compliance requirements, and contributes to continuous improvement initiatives within the department.
Responsibilities
Provide administrative support to the Maintenance Department, including document control, database administration, vendor correspondence, and departmental coordination.
Schedule and coordinate meetings, and departmental events.
Prepare, format, distribute, and maintain technical and administrative documentation using approved document management systems.
Reconcile departmental travel expenses and maintain associated records.
Provide administrative support to maintenance managers for employee training, qualification, authorization, and personnel training records.
Support maintenance department projects, process improvement initiatives, and implementation of new systems.
Create, maintain,
and update administrative procedures, forms, templates, and user guides.
Liaise with department managers to support operational requirements, document control activities, and corrective action initiatives.
Assist with the administration, filing, archiving, retrieval, and organization of aircraft technical records.
Assist with entry, verification, and maintenance of technical records and maintenance program information within approved maintenance tracking systems.
Assist maintenance management with report generation, record verification, and data administration activities.
Perform other duties as assigned in support of departmental objectives.
Qualifications
High school diploma is required; post-secondary education (administrative assistant, business administration, project management or similar) is an advantage.
Experience in the aviation industry or in a related administrative/documentation role is preferred.
Proficiency in Microsoft Office Suite and document management systems.
Technical writing and related software experience is an asset.
Strong organizational, communication, and time management skills.
Ability to manage multiple projects and maintain meticulous records.
