The purpose of this position is to provide senior level administrative support services to Indigenous Relations Secretariat and Anti-Racism Office. The position provides service to the Directors of Indigenous Relations and Anti-Racism but also provides administrative support to all employees in the Secretariat. This position is the initial contact for the section’s clients and general public
Duties will include but are not limited to:
Organizing meetings and preparing facilities which includes time, date and participant notification, audio/visual equipment, catering, agenda, and ensuring participants and staff have appropriate materials;
Drafting and distributing meeting agendas, ensuring minutes and other documents are prepared and distributed;
Making travel arrangements and preparing travel expense claim forms;
Processing payment of invoices, applying appropriate account codes while ensuring appropriate financial signing authority, and budget tracking;
Developing and maintaining a records information management filing system;
Receiving, screening, and responding to telephone inquiries, emails, or memoranda regarding programs and services;
Maintaining various tracking systems for correspondence, working files, etc., depending on the needs of staff;
Maintaining and ordering office supplies for the productive running of the office;
Typing, editing and formatting correspondence, reports, meeting notes and briefing notes;
Compilation of briefing notes and other materials;
Assisting in the development and maintenance of administrative office systems that support daily operations;
Other duties as required.
Minimum Qualifications:
Successful completion of a recognized college administrative diploma or certification or an undergraduate degree from a university;
Demonstrated equivalencies will be considered.
Considerable work experience (3 years plus) in an administrative role;
Must have completed or willing to complete an online certificate program related to records management;
Proficiency in the use of Microsoft Word, Excel, PowerPoint and Microsoft Office 365;
Effective time management and ability to manage competing and time sensitive priorities;
Excellent interpersonal, and communication skills.
Other Qualifications:
Knowledge and ability to use various types of office equipment, A/V equipment, LCD projector, etc.;
Demonstrated ability for accurate minute taking;
High degree of proficiency with English composition;
Proficiency in the use of Oracle FIS would be considered an asset.
