Location : Hybrid - Oakville, ON (3 days/week in-office, 2 days remote)
Salary : $65,000 - $75,000

Our client, an established and growing real estate company, is seeking a highly organized and detail-oriented Property Administrator to join their team! Acting as a key liaison between tenants, vendors, and internal teams, the successful candidate will help ensure smooth operations, accurate record keeping, and timely resolution of inquiries and requests. This is an excellent opportunity for a professional who enjoys working with people, managing multiple priorities, and playing a key role in delivering exceptional service.

Responsibilities:

Serve as the primary administrative contact for tenants, vendors, contractors, and internal teams.

Coordinate tenant communications, notices, service requests, move-ins, move-outs, and general inquiries.

Maintain accurate lease files, tenant records, insurance certificates, vendor contracts, and other documentation.

Support lease administration activities, including tracking renewals, amendments, deposits, arrears, and critical dates.

Assist with invoice processing, purchase orders, expense coding, account reconciliations, and rent collection activities.

Support budgeting, reporting, tenant correspondence,



and special projects.

Coordinate maintenance requests, monitor work orders, and follow up with service providers to ensure timely completion.

Work closely with cross-functional teams to maintain accurate records and reporting.

Ensure administrative processes are completed in accordance with company policies and operational standards.

Qualifications:

Minimum 3 years of experience in property administration, property management, or a related administrative role. Candidates must possess a strong understanding of property operations and tenant services.

Post-secondary education in Business Administration, Property Management, Real Estate, or a related field is preferred.

Strong organizational and time management skills with the ability to manage competing priorities are essential for success in this position.

Excellent written and verbal communication skills are required.

Proficiency with Microsoft Office, including Excel, Outlook, Word, and Teams is required.

Experience with property management software is considered an asset.

To be eligible for this role, you must be legally eligible to work in Canada.
