Charter Coordinator, AM Dispatch Support - Temporary Position

Student Transportation of Canada (STC) is seeking a highly organized and customer-focused Charter Coordinator, AM Dispatch Support to support both our daily school bus operations and growing charter transportation services. This role is temporary position lasting around 3 months. This role plays a critical part in ensuring students arrive at school safely and on time while coordinating charter transportation requests, supporting drivers, and delivering exceptional customer service.

Key Duties and Responsibilities

- Serve as the primary point of contact for charter customers, including schools, community groups, sports teams, and private organizations.
- Respond to charter inquiries and prepare quotes in a timely and professional manner.
- Coordinate charter bookings from initial inquiry through trip completion.
- Schedule drivers and vehicles for charter assignments while ensuring compliance with company policies and regulatory requirements.
- Prepare and distribute charter itineraries and trip details to drivers and customers.
- Monitor upcoming charter commitments and proactively address scheduling conflicts or operational concerns.
- Maintain accurate charter records, billing information, and operational documentation.
- Follow up with customers to ensure service satisfaction and address concerns as required.
- Support daily school bus dispatch operations during morning service.
- Monitor service levels and respond to operational challenges in real time.




- Maintain communication with drivers using two-way radio and dispatch technology.
- Assist with route coverage by arranging replacement drivers and vehicles as required.
- Communicate service disruptions, delays, breakdowns, and weather-related impacts to appropriate stakeholders.
- Escalate incidents, accidents, mechanical breakdowns, and operational concerns to management as required.
- Provide administrative support to the Operations team during peak dispatch periods.

Required Skills & Experience

- Previous experience in charter coordination, transportation, logistics, dispatch, customer service, or operations is preferred.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent verbal and written communication skills.
- Proven ability to provide exceptional customer service.
- Proficiency with Microsoft Office applications and web-based software.
- Ability to learn and effectively use dispatch, scheduling, and charter management systems.
- Strong attention to detail and commitment to safety.
- Ability to obtain First Aid & CPR certification.

Additional Responsibilities

- Be available to work early morning shifts and provide additional coverage as operational needs require.
- Support charter operations during evenings and weekends when required.




- Assist with supporting operations team with route coordination, driver questions & concerns.
