QA/Forecasting Coordinator

Sheldon Creek Dairy | Loretto, Ontario The Role

We need someone who thinks in systems. You'll build and own the forecasting engine that runs our production using data to predict what we need, when we need it, and making sure nothing falls through the cracks. You'll work across Shopify sales data, QuickBooks financials, production schedules, and supplier lead times to create a reliable planning system.

What You Do

Build the Forecasting System & Communicate It

- Analyze sales data from Shopify and historical production records to build accurate forecasts
- Create and maintain spreadsheets/dashboards that production and sales trust and actually use
- Present forecasts clearly to production team and management, explain what's coming, why it matters, and what needs to happen
- Identify patterns (seasonal spikes, customer trends, lead time risks) and flag risks early to the right people
- Track forecast accuracy and continuously refine your methods
- Document your process so it's repeatable, scalable, and others can understand it

Daily QA & Data Entry

- Review production sheets daily to ensure all required information is complete and accurate
- Enter production data into our systems batches made, yields, ingredients used, testing results
- Spot-check production work to make sure systems and procedures are being followed (HACCP, labeling, food safety protocols)
- Flag any deviations or concerns immediately; work with production to correct issues
- Keep QA records organized and current for audits and traceability
- Work with production team daily to maintain quality standards and compliance

Manage Production Inputs Through Data & Supplier Relationships

- Maintain a real-time inventory tracking system for all production materials
- Use forecasts to order smart communicating with suppliers about quantities, timing, and quality needs
- Build strong supplier relationships: clear expectations, reliable communication, problem-solving when issues arise
- Monitor supplier lead times and flag risks before they become problems—keep production and management in the loop
- Build a supplier database that tracks reliability, quality, and pricing
- Create reports that show what we're spending on materials and where we can optimize

Co-Packing Coordination & Communication

- Schedule co-packer production runs based on your forecasts and communicate timelines clearly
- Work directly with co-packers on material needs, quantities, and delivery schedules you're the main point of contact




- Coordinate packaging orders and raw ingredient materials make sure co-packers know exactly what they need and when
- Track co-packing materials and orders; keep production informed on what's coming and when
- Troubleshoot issues with co-packers: flag problems early, communicate solutions, maintain the relationship
- Maintain records of co-packing timelines and quality metrics; report status to management

Quality Records & Compliance

- Organize HACCP and food safety documentation in a system that actually works
- Create checklists and logs that production uses daily—communicate why each step matters
- Flag compliance gaps before audits find them; keep the team informed on what needs attention
- Work with QA team to make sure documentation is complete and audit-ready

What You'll Work With
- Shopify — pull sales and inventory data
- QuickBooks — track spending and supplier costs
- Production sheets & logs — review daily, enter data, flag issues
- Google Sheets/Excel — build forecasting models, dashboards, and tracking systems
- Production data systems — track what's being made, yields, quality checks
- HACCP & food safety documentation — maintain records, checklists, traceability
- Supplier databases — organize vendor info, pricing, lead times
- Our internal forms — we use Google Apps Script for production tracking; you'll work with these
- QA protocols & procedures — you'll be enforcing these daily on the production floor

What You Need

Technical Skills

- Detail-oriented: You catch errors, you see what's missing, you organize chaos.
- Systems thinking: You see how pieces connect—how a supplier delay impacts production, how production impacts forecasts, how data flows through the business.
- Good with technology and spreadsheets: Comfortable building models, using formulas, creating useful dashboards. You understand data.
- Comfortable learning new software: You can jump into Shopify, QuickBooks, Google Apps Script without hand-holding. You figure things out.

Communication Skills (Critical)

- Clear communicator: You explain forecasts, risks, and timelines in plain language. People understand what you're saying.
- Relationship builder: You can talk to production, suppliers, co-packers,



and management each group gets what they need from you.
- Proactive communicator: You flag problems early instead of letting them surprise people. You give people time to adjust.
- Listener: You hear what production needs, what suppliers can deliver, what co-packers are struggling with and you adjust.
- Written communication: You can document decisions, create transparent instructions, and communicate via email/messages when you can't meet in person.

Attitude

- Problem-solving: You like the puzzle of "how do we make this more reliable/faster/clearer?" and you follow through.
- Collaborative: You work across the whole operation you're not siloed in one department.
- Dairy or food production background is a plus you understand the work we're coordinating.

What Success Looks Like
- Daily QA: Production sheets are filled out completely every day; data is entered accurately and on time
- Quality compliance: Production team knows the systems and procedures and follows them; you catch deviations before they become problems
- Forecasting: Forecasts are accurate within 80% and getting better each month
- Communication: Production has a dashboard they check every morning and actually uses it because it's clear and helpful
- Ordering: Orders arrive on time because lead times are tracked and orders are placed automatically
- Supplier/co-packer relationships: Suppliers and co-packers tell us you're reliable, organized, and easy to work with—no last-minute surprises
- Coordination: Production and co-packers say they always know what's happening and what to expect
- Audits: Food safety records are organized, accurate, and audit-ready
- Systems: You've built a system that works even when you're not there because people understand it
- Data: Management trusts the data and communication you're giving them to make decisions
- Problem-solving: When a problem comes up (supplier delay, unexpected demand spike, quality concern), the right people know about it immediately

Pay: $22.00-$24.00 per hour
