The Centre for Interpersonal Relationships (CFIR) offers general administrative services (including but not limited to reception, marketing, scheduling, facilities, billing) to autonomous mental health professionals.
Staff at CFIR support dozens of Clinical Psychologists, Registered Psychotherapists, Counsellors, Student-Interns and Residents providing mental health treatment and assessment services to clients remotely and on site.
CFIR is currently seeking a permanent FULL-TIME administrative assistant to join our team!
ADMINISTRATIVE ASSISTANTS serve as the initial point of contact via telephone or email for potential clients or professionals requesting assessment and/or treatment services within CFIR. Working with the CFIR Administration Team, the administrative assistant has a general and operational understanding of most administration systems and is largely responsible for ensuring a positive customer experience for both clients and clinicians. This position reports to the Administrative Team Leads and Managing Director.

QUALIFICATIONS
- Bilingualism (French-English) required.
- Excellent written skills in English.
- 1-2 years administrative work experience considered an asset.
- Customer service experience considered an asset.
- Completed undergraduate degree or college degree at a recognized university or college.
- Not currently enrolled or planning to enroll in a degree program.
- Must be computer literate. CFIR operates on a Mac platform; proficiency with Mac computers is an asset.
- Must have impeccable interpersonal and customer service skills in person, by phone and by writing. Must be versatile and adaptable toward various emotional states clients can exhibit.
- Due to the nature of the services offered,
willingness to learn and be prepared to act according to clinicians regulatory bodies standards and several CFIR policies in place.
GENERAL CONSIDERATIONS
- Work is Exclusively in person at CFIR Ottawa Centre
- Attendance of meetings relevant the position, including liaising with the leadership, management or administrative team are required in fulfillment of the activities and projects described below.
- Information about daily, weekly activities related to projects, activities and duties may be requested as needed by Centre Directors to assess time required and priorities for the position.
- Performance of other duties as necessary and related to the duties below may be assigned if associated with the general activity area of this position.
CFIR ADMINISTRATIVE DUTIES
- Maintain professionalism and confidentiality of client information;
- Answer and screen all telephone calls to the centre and attend to email requests;
- Attend to intake requests/referrals through CFIR’s main client management system and through general correspondence;
- Conduct basic, non-clinical intake screening via telephone and email to determine the various assessment and/or treatment services being requested by potential clients;
- Based on intake screening, determine possible internal providers (i.e., CFIR associate psychologists or psychotherapists, residents, or counsellors) that can provide requested services within CFIR and are available to provide requested services;
- Provide clients with pertinent information (e.g., credentials of provider, hourly rate of providers, cost of specialized assessment, etc.)
about providers and/or services that is necessary for clients to determine which provider(s) to work with.
- Schedule clients for initial assessment and/or treatment sessions with requested clinical provider;
- Complete onboarding tasks and send onboarding information via email to new clients;
- Provide administrative support to clients by answering non-clinical questions and offering information that can be found on our website;
- Maintain up-to-date knowledge on all CFIR associates, residents, and counsellors and the assessment and/or treatment services they provide within CFIR services;
- Maintain up-to-date knowledge on all CFIR specialized assessment and treatment services provided (e.g., cost ranges for all types of specialized assessments and psychotherapies; types of specialized assessments offered; types of psychotherapies offered; etc.);
- Maintain a weekly, updated list of all CFIR clinicians accepting new referrals and those not accepting new referrals;
- Maintain an updated list of external assessment and/or treatment services providers for services not provided within CFIR;
- Review and maintain clinician schedules, room bookings, availabilities, and service offerings.
- Perform general administrative tasks as assigned (e.g., forms, inventories, correspondence, email templates, filing, scheduling meetings and appointments, invoicing clients, client payments, etc.)
- Provide administrative orientations to new associates, counsellors, and residents as needed.
- Educate clients and provide support for use of the client portal and CFIR’sVirtual Walk-in Clinic.
- Resolve/escalate to the Team Lead any administrative/technical problems and client complaints.
- ALL CFIR staff contribute to the basic cleanliness and maintenance of our Centres. The CFIR Intake Coordinator supports an essential service delivered in person and on-site. Remote work is not possible for this role.
Pay: $40,000.00-$42,500.00 per year
