Position Overview:

Reporting to the Chief Executive Officer, the Administrative Assistant provides general administrative and clerical support to the Chief Executive Officer and other management and administrative staff.

The Administrative Assistant provides reception and customer service support, assists with office management and accounting activities, supports Meals on Wheels and fundraising activities, coordinates meetings and events, maintains office systems, and provides orientation and guidance to volunteers involved in office-based activities.

This position requires strong organizational and communication skills, attention to detail, the ability to prioritize multiple responsibilities, and a professional and friendly approach when working with staff, volunteers, clients, and the public.

Key Responsibilities:

- Provide reception services, including greeting visitors, answering telephones, and responding to electronic and fax inquiries.
- Prepare letters, correspondence, reports, and other documents for the Chief Executive Officer, Board of Directors, management, and administrative staff.
- Support the orderly management of the office, including office supplies, inventory, cleaning, security, telephone systems, repairs and maintenance, and office coverage.
- Sort and distribute incoming mail and process outgoing mail using the postage machine.
- Provide support with office equipment, computers, workstation setup, and coordination with external technical support.
- Process accounts payable invoices and driver reimbursements,



including verifying calculations, coding, entering information into Accpac, issuing cheques, and following up on outstanding amounts.
- Assist Accounting Services with weekly deposits, reports, and the office petty cash system.
- Support Meals on Wheels administrative activities, including processing payments, entering information into CIMS, preparing monthly invoices, processing credit card payments and refunds, and preparing receipts and reports.
- Support fundraising and development activities, including campaigns, promotions, mailings, advertisements, donation processing, and donation receipts.
- Assist with the coordination of meetings, training sessions, workshops, and other events held in the office.
- Establish and maintain office systems, including database management, filing, document security, and document retrieval procedures.
- Organize and coordinate common areas, including the kitchen/lunchroom and kitchen supplies.
- Provide orientation, guidance, and direction to volunteers assisting with office-based projects and activities.
- Attend Board meetings as required to take notes and minutes and provide administrative support.
- Perform donation reconciliation by verifying contributions, matching payments to records, resolving discrepancies, and preparing reconciliation reports.
- Perform other related duties as required.

Qualifications:

- Post-secondary training in business, office administration, accounting, or a related field.
- Two or more years of general office experience, including experience preparing documents and correspondence.
- Experience in customer service or a position working with the public.

Skills and Abilities:

- Demonstrated computer and keyboarding skills, with a minimum typing speed of 50 words per minute.




- Proficient with Microsoft Office software, including Word, Excel, PowerPoint, and Access.
- Proficient database management experience with Raiser’s Edge.
- Demonstrated competency in written and oral English.
- Strong interpersonal and communication skills.
- Proven organizational, planning, and coordinating skills.
- Knowledge of contemporary office systems and processes.
- Ability to multi-task, meet deadlines, and set priorities.
- Ability to operate related office equipment.
- Physical ability to perform the duties of the position.
- Ability to maintain confidentiality of matters concerning clients, personnel, volunteers, and organizational development.
- Ability to work constructively as a member of the Administrative Office and Health and Home Care Society of B.C.
- Ability to represent the organization in a skilled, friendly, and business-like manner.
