THE COMPANY:

As a community-based service organization, Corbrook has been making an important contribution to the lives of people with disabilities and their families for more than 70 years. Our unique range of skill-building opportunities enable people to become more independent, promote self-esteem, find their employment path, and enhance their quality of life.

We offer a number of funded and fee-for-service programs at our two sites located in the East and North-West parts of Toronto, as well as at various community partners around the city.

POSITION OVERVIEW:

This position reports to the Manager of Services and Community Development and is responsible for the following:

· Provide administrative support to Manager of Services and Community Development and Service Coordinator

· Front Office Reception and administration

· Provide administrative support to programs and employment

· Manage and organize storage rooms, including maintaining inventory and ensuring supplies are well-organized and readily accessible.

DUTIES AND RESPONSIBILITIES:

Administrative Support

· Provide administrative support

· Provide exceptional customer service to all customers, staff and people supported and their families

· Answer phones, faxes and general email/mail inquiries, respond or route appropriately

· Provide computer and phone system troubleshooting

· Attend staff meetings as deemed necessary

· Maintain an up to date list of all members of Corbrook

· Coordinate all internal office mailing

· Coordinate purchase orders of supplies and maintain inventory of supplies

· Fielding general telephone inquiries

· Receiving and directing visitors

· General word processing, data entry and filing

· Support to telephone and email outreach for programs

· Support to scheduling meetings and interviews





· Support to placing office supply orders

· Preparation of materials for program activities including photocopying, printing, and some basic internet research

· Ensuring that all Corbrook’s Health and Safety and risk policies and protocols are followed

· Preparing reports and documentation as required

· Organizing packages for shipping by courier

Health and Safety

· Participate on Corbrook’s Health and Safety Committee

· Ensure compliance with Corbrook’s health and safety policy

· Ensure that all participants are working in health and safe workplace at all time

· Maintain inventory of supplies in all first aid kits, order supplies when required

· Coordinate monthly fire-drills

Internal Corbrook activities

· Liaise with and support all staff, when requested, plan and coordinate Corbrook events, when requested (e.g. special events)

· Attend staff meetings on a regular basis, location specific and full agency

External activities

· Act as an ambassador for Corbrook while working with businesses, customers, suppliers, visitors and external agencies

Other duties as assigned.

QUALIFICATIONS:

· Minimum Post-secondary diploma in Administration or other related field

· Minimum two to five years at experience in a related administrative, progressive position is required; direct experience in a not-for-profit is highly desirable

· Advanced proficiency in Microsoft Word, Excel,



PowerPoint and database applications is required

· Solicit and track potential donors for events

· Ability to work under pressure with frequent interruptions while working on numerous projects; ability to prioritize work and meet deadlines

· Excellent organizational skills relating to planning, record-keeping, and maintaining and executing an ongoing timetable of activities

· Excellent telephone manner as well as verbal and written communication skills

· Excellent language and grammar skills, capable of composing and proofreading/editing correspondence with consistent accuracy

· Ability to take initiative, work independently and build strong working team relationships

· Strong attention to detail and sharp focus on keeping track of commitments and responsibilities where multiple projects are in motion at all times

ADDITIONAL ASSETS:

- Knowledge of disabilities and disability-related barriers.
- Understanding of communication needs and behaviours for people with disabilities; excellent listening skills and the ability to appropriately guide clients.
- Excellent observation skills; ability to thoughtfully and effectively communicate with persons with disabilities, and appropriately follow-up.
- Respectful, adaptable, creative, patient.
- Respect for diversity of abilities and cultural perspectives.
- A valid driver’s license and access to a vehicle.

OTHER CONSIDERATIONS:

- Works on-site
- Monday to Friday; 8:15 a.m. to 4:15 p.m. (35 hours/week)
- Vulnerable Sector Check is a requirement for this position.

Pay: $38,000.00-$40,000.00 per year
