Responsibilities
- Manage daily administrative operations for residential listings, rental properties, client enquiries, property viewings, inspections and maintenance services.
- Set work priorities and maintain a central schedule covering active property files, document deadlines, appointments, service requests and required follow-ups.
- Develop and improve procedures, online forms, automatic responses, client templates and tracking systems for property listings, rental enquiries and document collection.
- Maintain organized electronic records for properties, clients, rental applications, tenancy documents, contractors, invoices and correspondence, and review files regularly for missing or outdated information.
- Create and maintain the company website and property pages, ensuring that descriptions, photographs, floor plans, prices, availability and contact information remain accurate and current.
- Produce digital materials for property listings, including property photography, walkthrough videos, audio recording, editing, captions and online publication.
- Coordinate communications among clients, tenants, prospective tenants, contractors and brokerage personnel and organize viewings, inspections, document submissions and service appointments.
- Prepare clear and professional client correspondence, property information packages, service updates, internal procedures and operational reports for English- and Mandarin-speaking audiences.
- Coordinate open houses, client activities and community engagement initiatives, with attention to accessible communication,
cultural awareness and the overall client experience.
- Review quotations, invoices, advertising charges, website expenses and maintenance costs and prepare monthly summaries of operating activity and expenses.
- Analyze enquiry volume, viewing activity, website engagement, listing progress and service response times and recommend practical improvements to administrative operations.
Employment Requirements:
- A college diploma or university degree in business administration or a related field, or equivalent experience in administration, customer relations, project coordination or large-scale event operations.
- Experience coordinating multiple projects, client files, schedules, suppliers and deadlines.
- Experience managing websites, online information and digital content.
- Proficiency in Microsoft Office, spreadsheets, shared calendars, online forms and cloud-based document-management systems.
- Practical experience with photography, video recording and video-editing software.
- Excellent qualified writing, interpersonal and verbal communication skills.
- Strong analytical, organizational and problem-solving skills, with the ability to establish priorities and work independently.
- English proficiency is required. Mandarin proficiency is preferred due to the company’s client-service needs.
- A valid British Columbia driver’s licence is required.
