JOIN A HIGH-PERFORMING MEDICAL ASSESSMENT TEAM

Omega Medical Associates, a multidisciplinary assessment centre, is seeking an Assessment Services Coordinator to join our collaborative and client-focused team.

This is a energetic, full-time, in-office position for someone who enjoys balancing multiple priorities while maintaining exceptional standards of service. You will work closely with clients, assessors, staff, and managing partners to ensure a seamless experience from intake through to report completion.

ABOUT THE ROLE

As an Assessment Services Coordinator, you will play an integral role in supporting the full assessment cycle. This position requires strong organizational skills, adaptability, and the ability to confidently manage competing demands while maintaining professionalism and efficiency.

We are looking for someone who sets a high standard, demonstrates initiative, and takes ownership of timelines and deliverables.

KEY RESPONSIBILITIES

Front Desk & Reception

- Welcome clients and assessors in a professional and courteous manner
- Manage assessor documentation for daily assessments
- Facilitate completion of intake forms
- Answer and direct incoming calls
- Open and close the clinic
- Provide lunch and break coverage
- Complete client reminder calls

Intake & File Management

- Monitor referral and shared email inboxes
- Create and manage new client files
- Communicate with referral sources

Assessor Coordination





- Distribute assessment schedules and related documentation
- Process incoming reports, invoices, consent forms, and related documents

Additional Responsibilities

QUALIFICATIONS

- Excellent written and verbal English communication skills
- Strong multitasking and time management abilities
- Proficiency in Microsoft Office Suite
- Experience in a similar administrative or medical environment is an asset
- Familiarity with HCAI and motor vehicle accident services is an asset
- Ability to work full-time, in-office (Victoria Park & 401 location)

COMPENSATION & BENEFITS

- Salary: $45,000 – $50,000 annually (commensurate with experience)
- Full-time, Monday–Friday, 9:00 AM – 5:00 PM
- Start date: Immediate
- Extended health and dental benefits (after successful completion of probation)
