JOB SUMMARY:
The Assistant Housing Support Manager manages the day-to-day operations of Under One Roof. Reporting to the Housing/Shelter Manager, this position supports the oversight of all housing and shelter programs and works closely with Site Supervisors and frontline staff.
The Assistant Housing Support
Manager supports frontline staff, Site Supervisors, participants, and the leadership team, and helps plan and document housing program processes and procedures while ensuring appropriate staffing levels and participant/resident care.
DUTIES & RESPONSIBILITIES:
Operational Support & Site Coordination
- Supports the Housing Manager in the day-to-day operations of the housing program or shelter.
- Sets the tone for excellent service to the vulnerable population SHHS serves - residents, the unhoused, food bank patrons, and Open Door Health (ODH) patients.
- Ensures the facility is safe, clean, and functioning, including coordinating maintenance requests and monitoring building systems.
- Coordinates call-outs, scheduling coverage, shift adjustments, and communicating daily operational needs to staff.
- Helps maintain compliance with organizational policies, health and safety standards, and applicable housing regulations.
- Monitors occupancy, room turnover, and participant moves (intake, transfer, exit) to ensure efficient flow and documentation.
- Completes EWR reporting to BC Housing in the absence of the Housing Manager.
- Acts as Interim Housing/Shelter Manager in their absence.
- Supports other support programs as needed.
Participant Support & Community Building
- Supports staff in providing person-centred, trauma-informed services to residents, participants, and Open Door Health patients.
- Helps respond to participant concerns, grievances, or incidents in a calm, respectful, and solutions-focused way.
- Assists with conflict resolution and de-escalation, ensuring culturally safe, inclusive approaches.
- Encourages a positive, respectful community atmosphere within the housing program.
- Collaborates with outreach, ODH clinical teams, and external partners (for example, VCH Mental Health and Home Care Team) to support integrated care when needed, documenting care and safety plans and sharing information as appropriate within consent and privacy policy.
Staff Support & Leadership
- Acts as the point person when the Housing Manager is off-site or unavailable.
- Supervises and directs staff as needed; provides input into staff performance reviews and development plans.
- Provides mentorship, coaching, and support to frontline staff during shifts.
- Participates in interviewing for frontline staff, onboarding, and training new employees on safety protocols, procedures, and participant-centred practices.
- Helps facilitate team communication through daily briefings, daily log reviews, and passing on essential information.
Administration & Reporting
- Completes required documentation such as incident reports, shift logs, occupancy data, and maintenance records.
- Provides administrative support to the Housing Manager as needed.
- Supports accurate data entry in organizational systems (HIFIS, SharePoint, Arcori, or similar platforms).
- Tracks supplies, assists with ordering, and manages small operational budgets as delegated.
- Contributes to monthly operational reports or program reviews led by the Housing Manager.
- Co-leads the weekly Participant Care Meetings, ensuring minutes are complete, accurate, and communicated with staff and management.
Risk Management & Safety
- Helps ensure emergency procedures are followed (fire, overdose response, medical emergencies, evacuation).
- Supports safety checks, building walk-throughs, and monitoring of high-risk situations.
- Participates in critical incident debriefings and ongoing staff support follow-ups.
- Ensures all staff complete Health and Safety tours during onboarding.
- Represent the management at the JOHC monthly meeting.
Continuous Improvement & Collaboration
- Identifies operational challenges and suggests improvements to workflows, safety, or participant experience.
- Contributes to policy and procedure development or updates.
- Builds strong working relationships with internal programs (outreach, food services, health clinic, operations, etc.).
- Represents the housing program professionally in meetings and with community partners as delegated.
- Coordinates and completes projects as needed.

EDUCATION, TRAINING AND EXPERIENCE:
- Diploma/Degree in Social Sciences preferred, with a minimum of one (1) year of supervisory experience.
- Level 1 First Aid Certificate required.
- Crisis Intervention Skills Training and Hostile Interactions Training required.
- Advanced Overdose Response Training an asset.
- Supervisory and/or Leadership-specific training valued as an asset.
- An equivalent combination of education, training and experience may be considered.
