About OREC The Ottawa Renewable Energy Co-operative (“OREC”) is a community-owned renewable energy co-operative that develops, funds, and operates renewable energy projects across Ontario. OREC mobilizes community capital to accelerate the energy transition while generating meaningful environmental, social, and economic benefits.

OREC is seeking a detail-oriented and highly organized Bookkeeper & Office Administrator to support the financial administration and day-to-day operations of the growing co-operative and its related project entities. This is a new role as we are transitioning our bookkeeping functions from an external provider to an in-house model, offering an exciting chance for the right candidate to help shape and implement our financial management processes.

This role combines full-cycle bookkeeping, member investment administration, and operational support to the organisation within a collaborative and values-driven environment.

This position is remote and open to candidates based anywhere in Ontario.

Key Responsibilities The bookkeeper & Office Administrator will work closely with OREC’s General Manager and part-time Finance Manager under the guidance of the Board Treasurer to cover the following responsibilities:

Financial Bookkeeping & Reporting

- Maintain financial books and records for OREC and five small related entities
- Maintain accurate general ledgers, journal entries, and supporting documentation
- Perform monthly bank account and credit card reconciliations
- Process monthly invoicing, accruals, collections, and related bookkeeping for solar projects and operating entities
- Process quarterly accounting entries for projects administered by partners based on project reports and distributions received
- Support budgeting, cash flow tracking, and financial reporting processes as required

Debt Administration & Lender Reporting

- Maintain loan tracking schedules, repayment calendars, and supporting lender documentation for corporate financing facilities
- Process and track loan repayments, interest payments, and related accounting entries
- Support preparation and submission of periodic lender reporting packages, compliance certificates, and financial information requests
- Monitor financing obligations, reporting deadlines, and covenant requirements to support ongoing compliance




- Maintain organized records of loan agreements, security documentation, and financing correspondence
- Assist management with cash flow tracking and forecasting related to debt servicing and project financing obligations

Tax, Payroll & Regulatory Administration

- Prepare and submit quarterly HST filings for all entities
- Liaise with CRA regarding HST and related matters as required
- Process payroll for 3 staff and related remittances through QuickBooks Online, including:
- source deductions
- Employer Health Tax (EHT)
- WSIB
- employee benefits remittances
- Prepare annual T4 and related payroll reporting

Member Investment & Corporate Administration

- Support the preparation, processing, and tracking of annual capital raises, including investor documentation, subscription tracking, payment reconciliation, and related administrative follow-up
- Maintain organized records related to member investments, preference shares, member notes, and investor communications
- Process adjustments related to issuances and transfers of membership, preference shares, and member investment notes
- Administer annual dividend and interest payments and capital repayment processing
- Coordinate annual T5 preparation and processing
- Maintain accurate investment and member records in coordination with management

Audit & Year-End Support

- Liaise with external auditors and accountants for annual year-end engagements for all entities
- Prepare supporting documentation and schedules required for annual financial statements and tax filings
- Support implementation and maintenance of accounting controls and procedures

Administrative Support

- Provide administrative and organizational support to the General Manager and other OREC staff across financial, operational, and strategic initiatives
- Support ongoing process improvements and implementation of administrative and financial management systems
- Coordinate with external service providers, partners, and advisors as required

Qualifications & Experience

- University degree in Accounting,



Finance, or a related field, or an equivalent combination of education and experience
- CPA designation or other relevant professional designation is considered an asset
- Minimum 5 years of bookkeeping or accounting administration experience
- Experience with QuickBooks Online, including the use of Classes for project or entity tracking
- Experience with payroll administration, HST filings, and bank and inter-company reconciliations
- Strong attention to detail
- Ability to manage multiple entities and priorities simultaneously
- Robust written and verbal communication skills
- Comfortable working independently in a collaborative small-team environment
- Familiarity with shareholder/member investment administration is an asset
- Experience in co-operatives, renewable energy, or project-based organizations is an asset

Compensation & Working Conditions

- Salary range: $55,000 – $65,000 / year commensurate with experience
- 20 days paid time off plus 1 week off between Boxing Day and New Year’s Day.
