Bookkeeper / Office Manager

Niwa Crane Ltd., a 50-year-old Medicine Hat family owned, community minded business, is looking to fill a bookkeeping/office manager position.

The last person to fill this full-time position was here for 35 years.

Position Summary

We are seeking a highly organized, detail-oriented, and dependable Bookkeeper / Office Manager to oversee day-to-day bookkeeping, administrative operations, and general office management. This position will play an important role in maintaining accurate financial records, supporting management, coordinating office activities, and ensuring the smooth and efficient operation of the business.

Key Responsibilities

Bookkeeping & Accounting

Maintain accurate and up-to-date financial records.

Record accounts payable and accounts receivable transactions.

Prepare and process invoices, payments, deposits, and receipts.

Reconcile bank and credit card accounts.

Monitor outstanding accounts receivable and follow up on overdue balances.

Prepare payroll information and assist with payroll processing.

Maintain organized financial documentation and records.

Assist with monthly, quarterly, and year-end financial reporting.

Work with the company's accountant or CPA as required.

Assist with budgeting, cash-flow tracking, and financial administration.

Ensure bookkeeping practices comply with company policies and applicable requirements.

Office Management

Manage the day-to-day administrative functions of the office.

Answer phones, respond to emails,



and direct inquiries appropriately.

Maintain office files, records, and documentation.

Order office supplies and coordinate with vendors and service providers.

Schedule meetings, appointments, and other office activities.

Prepare correspondence, reports, spreadsheets, and other documents.

Maintain a professional, organized, and efficient office environment.

Assist management with administrative projects and special assignments.

Coordinate communication between management, employees, customers, suppliers, and other stakeholders.

General Responsibilities

Maintain confidentiality of company, employee, and financial information.

Identify administrative or accounting issues and bring them to management's attention.

Develop and maintain productive office procedures and systems.

Provide general support to management and other staff as needed.

Perform other related duties consistent with the position.

Qualifications

Previous experience in bookkeeping, accounting, office administration, or a related field.

Strong knowledge of bookkeeping principles and financial recordkeeping.

Proficiency with Microsoft Office 365.

Experience with accounting/bookkeeping software such as Sage Accounting is an asset.

Strong organizational and time-management skills.





Excellent attention to detail and accuracy.

Strong written and verbal communication skills.

Ability to prioritize multiple tasks and meet deadlines.

Ability to work independently while also functioning effectively as part of a team.

High level of professionalism, discretion, and confidentiality.

Social Internet Platforms

Maintenance of Web site and Facebook. No previous experience necessary. Will train and supply content.

Education & Experience

Post-secondary education in accounting, bookkeeping, business administration, or a related field is preferred.

Previous experience relevant bookkeeping and office administration experience preferred.

Working Conditions

This is a full-time position.

The role is primarily office-based.

Occasional additional hours may be required during payroll, month-end, year-end, or other busy periods.

Salary and benefits will be based on experience, qualifications, and the overall responsibilities of the position.

They should be able to manage competing priorities, maintain accurate records, and provide reliable support to management and the team.

Pay: $43,000.00-$47,000.00 per year
