Clerk 2 (ADM03) – Administrative Support
Location: Halifax, Nova Scotia
Employment Type: Contract
Schedule: Monday to Friday, 7 hours/day
Work Arrangement: 100% Onsite
Classification: Clerk 2 (ADM03)
Position Overview: Our client is seeking a detail-oriented and reliable Clerk 2 (ADM03) to provide administrative support to departmental programs and services.Working under general supervision, the successful candidate will perform a variety of administrative assignments using established legislation, policies, procedures, methods, rules, and standards. The role requires strong attention to detail, sound judgment, confidentiality, and the ability to accurately process information and meet established deadlines.The successful candidate will be responsible for maintaining records, updating information in departmental systems, preparing routine correspondence and documentation, verifying data, responding to inquiries, and supporting day-to-day administrative operations.
Key Responsibilities
- Provide day-to-day administrative support to departmental programs and services.
- Process, maintain, and update records and information accurately in electronic information systems and databases.
- Enter, review, verify, and maintain data while ensuring data integrity and completeness.
- Identify discrepancies, investigate routine issues, and make appropriate corrections or escalate complex matters when required.
- Prepare, format, file, and distribute routine correspondence, reports, forms, and other administrative documentation.
- Maintain organized electronic and paper records in accordance with established procedures.
- Support administrative processes by following applicable legislation, policies, procedures, rules, and departmental standards.
- Prepare and process expense claims and other routine administrative documentation as required.
- Maintain office supply inventories and assist with related administrative tracking.
- Distribute inter-office mail and documentation as required.
- Answer and respond to routine inquiries by telephone, email, and in person, providing timely and professional assistance.
- Maintain confidentiality when handling departmental, employee, client, or program information.
- Work independently on assigned tasks while prioritizing competing deadlines.
- Exercise judgment when selecting the appropriate method or established procedure for completing assignments.
- Perform other related clerical and administrative duties as assigned.
Mandatory Qualifications Candidates must meet ALL of the following mandatory requirements:
1. Canadian Work Eligibility
- Must be a Canadian citizen or Permanent Resident of Canada.
2. Education
- Completion of secondary school is mandatory.
3. Education / Related Experience
- Post-secondary education OR a minimum of two (2) years of related experience, or an equivalent combination of training and experience.
4. Database & Electronic Information Systems
- Demonstrated experience working with databases and electronic information systems.
- Experience working with LaMPSS and MS Lists is considered an asset.
5. Accuracy & Data Integrity
- Demonstrated ability to work accurately and meet deadlines.
- Experience reviewing and verifying information for accuracy, completeness, and data integrity.
- Ability to identify and resolve routine data discrepancies.
6. Independent Work
- Demonstrated ability to work independently with general supervision.
- Ability to organize and prioritize multiple administrative tasks while meeting established deadlines.
7. Confidentiality
- Demonstrated ability to handle information with confidentiality, discretion, and professionalism.

Preferred / Asset Qualifications
- Experience with LaMPSS.
- Experience with Microsoft Lists (MS Lists).
- Previous experience within a government, public-sector, regulatory, or departmental environment.
- Experience providing administrative support to programs or service-delivery teams.
- Experience maintaining confidential records and departmental documentation.

They should be comfortable working with databases and electronic information systems and demonstrate strong judgment when handling discrepancies or routine administrative issues. Pay: $16.75 per hour
