Job Summary
We are seeking a warm, organized, and proactive Client Services Coordinator to join the Lox Salon team full-time in Downtown Dartmouth.
This role is at the heart of the Lox guest experience. You’ll be the welcoming face at the front desk, the friendly voice on the phone, and the person helping everything run smoothly behind the scenes. From managing appointments and guest communication to keeping the schedule full, supporting rebooking, and creating thoughtful moments throughout each visit, you’ll help ensure every guest feels genuinely cared for from the moment they arrive until the moment they leave.

Responsibilities
- Welcome every guest warmly and help create an elevated, comfortable salon experience from arrival through checkout.
- Answer incoming phone calls, messages, and booking inquiries promptly and professionally.
- Manage the appointment book using Phorest, including bookings, rescheduling, deposits, confirmations, and guest information.
- Maintain an active waitlist and proactively fill openings and last-minute cancellations.
- Support salon productivity by monitoring the schedule, identifying gaps, and helping keep artists' books running efficiently.
- Check guests out accurately, process payments, and support rebooking before guests leave.
- Confidently speak to guests about products and recommendations provided by their stylist.
- Complete opening and closing responsibilities, including front desk checklists and till reconciliation.
- Work closely with the salon team to communicate important guest, scheduling, and operational information.
- Maintain discretion and professionalism when handling guest information and conversations.
- Take ownership of key client service standards, including prebooking, phone response, message response times, and waitlist management.
What We’re Looking For
- Previous experience in customer service, hospitality, retail, front-of-house, reception, or a similar people-focused role is an asset; salon experience is not required.
- Naturally warm, welcoming, and confident communicating with a wide range of people.
- Highly organized with strong attention to detail and the ability to follow through without needing constant reminders.
- Comfortable managing multiple priorities while remaining calm and composed in a busy environment.
- Confident using computers, booking software, and point-of-sale systems; training on Phorest will be provided.
- Proactive—you notice what needs to happen and take action rather than waiting to be asked.
- Comfortable being on your feet and moving throughout a full shift.
- Professional and discreet with sensitive guest and team information.
- Available to work Saturdays and at least one evening, with flexibility across the salon’s opening hours.

Location: 33 Alderney Drive, Downtown Dartmouth, NS Schedule: Full-time, including Saturdays and at least one evening per week.
Pay: $17.00-$23.00 per hour
Expected hours: 40.0 per week
