Position Title: Customer Service and Administrative Associate
Full-time | 37.5 hours per week | Location: Mississauga, Ontario | Start date: As soon as possible
Reports to: Manager, Customer Relations and Administration
About the Prospect
WeRPN is seeking a service-focused and highly organized Customer Service and Administrative Associate to support members, applicants, stakeholders, and internal teams. In this role, you will respond to inquiries, administer membership and government initiative applications, maintain accurate records, and provide dependable day-to-day administrative support. This is an excellent opportunity for someone who enjoys helping others, managing details, and contributing to a collaborative professional environment.
This position is currently based on a hybrid work model, combining remote and on-site work throughout the week. Please be advised that the work arrangement is subject to change.
What You’ll Do
Reporting to the Manager, Customer Relations and Administration, you will:
- Respond to member, applicant, stakeholder, and general inquiries by phone and email in a professional, friendly, and timely manner.
- Provide clear information about membership, programs, services, government education initiatives, and organizational processes.
- Process applications, renewals, account updates, and routine administrative follow-up; escalate complex matters to the appropriate team.
- Maintain accurate, complete, and timely information in Salesforce, program databases, filing systems, and organizational records.
- Monitor shared inboxes,
redirect requests, and ensure appropriate follow-up.
- Prepare and format documents, complete data entry, filing and scanning, and assist with reports and renewal activities.
- Coordinate calendars, meetings, invitations, materials, equipment, and hospitality.
- Support events, marketing mailings, promotional items, incoming and outgoing mail, inventory, and other office activities.
- Collaborate with teams across WeRPN and help train students or temporary staff on administrative functions when required.
- Follow organizational policies, communication procedures, privacy practices, and accessibility standards; perform other duties as assigned.
What You Bring
- Strong customer service, written communication, and verbal communication skills.
- Excellent organization, accuracy, attention to detail, and follow-through.
- Ability to manage competing priorities and work effectively both independently and collaboratively.
- Sound judgment, tact, diplomacy, adaptability, and a solutions-focused approach.
- Comfort working with databases and standard office software; Salesforce experience is an asset.
- A professional, reliable, and inclusive approach to working with colleagues and the public.
Qualifications
- College diploma or certificate in administration, or an equivalent combination of education and relevant experience.
- Demonstrated administrative and customer service experience.
- Working knowledge of office procedures, record management, and professional correspondence.
- Proficiency with Microsoft Office and the ability to learn and use database and program software.
- Experience supporting membership, association, education, training, or public-facing programs is an asset.

Pay: $42,000.00-$48,000.00 per year
