Position SummaryPayroll Team Lead ensures successful payroll operations, compliance, training, data analysis, controls, audits, and reporting. The role is accountable for accurate tax submissions, benefits contributions, T4 and W-2 reconciliations, and serves as backup to the Manager, Payroll. The Payroll Team Lead will also take a key role in system configuration, integrations, and continuous improvement initiatives, including the adoption of AI-driven tools to modernize payroll processes.Key ResponsibilitiesCoach the Payroll Specialists, ensuring they are knowledgeable about established payroll processes, procedures, and internal controls.Act as a Payroll Specialist when required to ensure payroll is completed on time.Review payroll inputs for each pay group for accuracy and verify that all documentation is received and approved by appropriate departments.Update and improve payroll trackers and checklists to ensure all payroll activities are prepared and submitted by appropriate deadlines.Maintain and develop payroll documentation for all workflow and system procedures necessary to support Canadian and US payroll processes.Process off-cycle payrolls for restricted stock unit payouts, vesting of options, director fees, annual amendments, and liquidity events.Manage payroll integrations (e.G., SuccessFactors, Sun Life, Fidelity, PlanSource), ensuring data integrity and issue resolution.Analyze payroll processes and system configuration to identify improvements, maximize system efficiency, and implement enhancements.Track issues from source systems (SuccessFactors, Sun Life, Fidelity, PlanSource) and ensure alignment and accuracy in the payroll system.Perform system updates, including new deductions, earnings codes,
and pay policies to accommodate company requirements and regulatory changes.Configure the time and attendance module to comply with all applicable payroll laws and internal policies.Manage payroll tax accounts, address tax agency correspondence, record payroll journal entries, and update the GL mapping as required.Monitor payroll and benefits bank accounts, book transactions in the accounting system, and tie amounts to payroll summaries and supporting documentation.Establish and communicate payroll schedules and deadlines among departments for necessary payroll input.Generate payroll reports such as WCB, ACA, bonusable earnings, and taxes owed on restricted stock units and vested stock options.Assist with payroll, benefit, or pension audits.Support future implementation of payroll/HCM systems and integrations with Fidelity and HSA providers.Close payroll tax accounts for acquired companies and assist with acquisitions and related projects.Required ExperiencePost‑secondary education in Payroll, Business, or related fields.Payroll Compliance Professional (PCP) certification.Minimum 7 years of payroll processing experience.Experience in US and Canadian payroll practices, including multi‑state processing.Solid understanding of payroll processes and relevant legislation, source deduction and government remittance procedures (USA and CAD).Advanced Excel skills.Flexibility and adaptability in a rapid‑changing,
dynamic environment with evolving systems and procedures.Strong time‑management and organizational skills.Self‑motivated and detail‑oriented with the ability to prioritize and deliver results independently.Preferred ExperienceCustomer service mindset.Effective communication skills.Excellent interpersonal skills.Experience with Dayforce.Experience with various payroll software.RemunerationCanada base salary range: $95,000 – $105,000 per year, plus bonus and benefits. The range displayed reflects the target for new hire salaries for the position across all Canada locations.
