About the Role

OES Inc. is seeking a motivated, organized, and detail-oriented Departmental Administrative Assistant to support the Technical Services Group in a dynamic manufacturing environment.

This role provides administrative and operational support across Controlled Goods compliance, purchasing, production planning, order entry, ERP data management, documentation, and inspection activities. The successful candidate will be comfortable managing multiple priorities, working with production teams, maintaining accurate records, and ensuring administrative processes are completed efficiently and accurately.

Key Responsibilities

- Maintain accurate operational and departmental data within ERP systems.
- Create and update item records, material information, and related operational data.
- Provide administrative support for Controlled Goods compliance, purchasing, production planning, and order entry.
- Work closely with Production staff to schedule and coordinate open jobs.
- Perform incoming inspection of components as required.
- Assist with data validation and process compliance activities.
- Arrange and coordinate external regulatory inspections.
- Assist with internal and external audits as required.
- Support the review and maintenance of production work instructions, procedures, and documentation related to inspection and critical processes.
- Maintain accurate departmental records, documentation,



and files.
- Provide administrative support for departmental projects and initiatives.
- Read and work with production documentation, work instructions, drawings, and related materials.
- Identify opportunities to improve processes and administrative efficiency.
- Complete general administrative duties and other responsibilities as assigned by the Technical Services Group.

Qualifications

- Post-secondary education is required.
- Minimum of 2 years of experience in administrative coordination, operations support, service administration, or a related role.
- Ability to obtain and maintain the required security clearance.
- Successful completion of a criminal background check and credit check.
- Strong organizational and prioritization skills with exceptional attention to detail.
- Strong written and verbal communication skills.
- Self-motivated, dependable, and able to take initiative.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Knowledge & Experience

- Proficient in Microsoft Office, including Word, Excel, and Outlook.
- Working knowledge of ERP systems.
- Previous experience in a manufacturing environment is considered an asset.
- Experience with production planning, purchasing, order entry, inventory, or operational administration is considered an asset.




- Ability to understand and work with production documentation, procedures, work instructions, and drawings.
