Samee Metals is a growing, privately owned company operating across the steel trading, 3PL warehousing, transportation, and logistics industries in Canada and the United States.
The President is directly involved in commercial strategy, customer and supplier relationships, operations, hiring, and the continued growth of the organization. We are looking for an experienced Executive Assistant who can work closely alongside the President and help turn conversations, decisions, and priorities into completed action.
About the Role
This is not a traditional desk-based administrative position.
The Executive Assistant will serve as the President’s trusted right hand, working closely with him throughout the business day. You may attend internal leadership meetings, visit company facilities, accompany him to customer or supplier meetings, coordinate business travel, communicate with department leaders, and follow up on important commitments on his behalf.
The ideal candidate is confident, highly organized, resilient, and comfortable working with a direct, quick-moving executive. You must be able to anticipate what is needed, adjust quickly when priorities change, and keep multiple people and projects moving without requiring constant instruction.
You will often be the person ensuring that the President’s decisions are clearly communicated, assigned to the right people, followed through, and completed.
Key Responsibilities
Executive and Daily Support
- Work directly alongside the President to organize and manage his daily business priorities.
- Proactively manage a complex and frequently changing calendar.
- Coordinate meetings, appointments, site visits, business events, and travel.
- Prepare the President with the background information, documents, and updates required for each meeting.
- Identify scheduling conflicts, missing information, and potential issues before they become problems.
- Help protect the President’s time by prioritizing requests and ensuring important matters receive appropriate attention.
- Remain accessible and responsive when urgent business matters arise.
Business and Project Coordination
- Support strategic and operational projects across steel trading, warehousing, transportation, logistics, sales, and administration.
- Coordinate information and follow-up between the President and department heads.
- Conduct business research and summarize findings in a clear, decision-ready format.
- Help monitor deadlines, deliverables, and progress across multiple initiatives.
- Identify gaps, delays, and communication breakdowns and take initiative to move matters forward.
- Develop practical systems for organizing executive priorities, meeting notes, approvals, and follow-ups.
Travel and Logistics
- Coordinate complete business travel arrangements, including flights, accommodations, transportation, reservations, meetings, and detailed itineraries.
- Accompany the President on regional business travel and occasional domestic or international trips when required.
- Organize receipts, expenses, and supporting documentation related to executive travel and business activities.
What We Are Looking For
- At least three (3) years of direct experience supporting a President, CEO, owner, or other senior executive; five or more years is strongly preferred.
- Demonstrated experience working in a fast-paced, privately owned, entrepreneurial, or multi-business environment.
- Experience in steel, manufacturing, warehousing, transportation, logistics, construction, real estate, or another operational industry is an asset.
- Exceptional organization and the ability to manage multiple changing priorities without losing important details.
- Strong professional judgment and the confidence to make reasonable decisions independently.
- Excellent written and verbal communication skills.
- The ability to summarize complex conversations and identify the decisions, responsibilities, and next steps.
- Strong executive presence and comfort communicating with senior leaders, customers, suppliers, and external professionals.
- A proactive working style—you notice what is missing,
obtain the necessary information, and take action.
- High emotional intelligence, resilience, discretion, and professionalism.
- Advanced proficiency with Google Workspace, including Gmail, Calendar, Docs, Sheets, and Slides.
- Experience using task-management, travel-booking, expense, and communication platforms is an asset.
- A post-secondary degree or diploma in business, administration, communications, operations, or a related area is preferred; equivalent executive-support experience will also be considered.
Location, Schedule, and Travel Requirements
- This is a full-time, in-person position primarily supporting the President.
- Regular travel to the company’s Hamilton HQ operations and other locations throughout Southern Ontario is required.
- The Executive Assistant must be comfortable working outside a single office and moving between meetings, facilities, and business engagements.
- Some early-morning meetings, evening events, urgent requests, or schedule changes may occasionally be required.
- Occasional domestic and international business travel may be required.
- A valid Ontario G driver’s licence and reliable vehicle are required. Approved business travel expenses will be reimbursed in accordance with company policy.
