Our client is a large, private multi-family office. Due to continued growth, this role will operate as a dedicated Executive Assistant to senior executives while also providing broader support across the HR team.
What You'll Do
- Manage active calendars for senior executives, including scheduling, meeting logistics, and travel as needed
- Own recurring team expenses and invoicing on a weekly cycle
- Handle document management and HRIS updates filing, uploads, and record keeping
- Support onboarding and benefits administration at an administrative level (collecting forms, routing them to the right places, tracking completion)
- Administer the company's charitable donation matching program, including the seasonal push ahead of CRA deadlines
- Take on the range of smaller administrative tasks across the team that add up to real impact
- Handle sensitive information with complete discretion
What We're Looking For
- 2-4+ years of administrative, coordination, or assistant experience in a corporate environment
- Sound judgment and the ability to work independently once pointed in the right direction
- Polished written communication you can write a skilled email without being coached on it
- Genuine discretion; this is a private organization and confidentiality matters more here than in most places, both during the hiring process and on the job
- Strong Microsoft Office skills
- An interest in using AI tools to work more efficiently the team actively uses Claude and Copilot
- A collaborative, roll-up-your-sleeves attitude
- Able to commit to three days per week in office now
