As a growing practice, they welcome team members who bring clarity, initiative, and a steady presence to our operations. The clinic is in Airdrie, AB and the role reports directly to the Owner.
The Executive Operations Coordinator is a role combining executive support, operations coordination, marketing implementation, and hands‑on administrative assistance. This position is ideal for someone who thrives on creating order, anticipating needs, improving systems, and helping meaningful work move forward. Responsibilities may vary week‑to‑week, blending recurring tasks with focused projects.
Key Responsibilities
- Manage and organize the Owner’s inbox, flag priorities and reminders, track recurring responsibilities, and support timely follow‑through.
- Participate in co‑working sessions to support productivity, clinical note completion, planning, and movement of priority work.
- Capture ideas, track action items, organize next steps, and help turn decisions into completed work.
- Coordinate scheduling and appointment logistics for the Owner’s caseload, send client resources, and follow up on attendance while maintaining clear clinical boundaries.
- Keep forms, documentation, intake paperwork, receipts, and administrative records organized and current; support routine expense administration and expense tracking.
- Monitor office supply needs, coordinate ordering, and assist administrative staff with overflow or time‑sensitive tasks.
- Identify inefficiencies and help improve workflows, checklists, SOPs, and overall administrative systems; troubleshoot scheduling, billing, and platform issues as needed.
- Implement the established marketing plan by preparing newsletters, drafting and scheduling social media content, coordinating materials, and supporting focused marketing projects.
- Deliver marketing or community materials to local partners and assist with occasional errands, supply pick‑ups, and off‑site activities.
- Set up and run the clinic’s trade show booth several times a year.
- Maintain strict confidentiality and professionalism in all responsibilities.
- Additional duties as required.
Qualifications
- Minimum 2 years of relevant administrative operations, executive support, or healthcare/clinical experience.
- Strong organization, accuracy, adaptability, reliability, and follow‑through.
- High attention to detail and exceptionally comfortable handling confidential information.
- Ability to work proactively and independently in a shifting‑priority environment.
- Experience with executive assistance, operations, billing, client services, and learning multiple software systems.
- Familiarity with Jane, insurance billing platforms, Mailchimp, Canva, or similar tools is an asset.
- Comfortable working in a mental health setting with strong understanding of privacy, discretion, and boundaries.
- Experience in healthcare, mental health, professional services, or other confidential/client‑focused environments is an asset.
- Must provide a current Criminal Record Check with Vulnerable Sector Check.
Work & Environment Details
- 12 hours per week,
combining recurring responsibilities with project‑based work.
- The role is expected to run on Monday, Wednesday, and Friday for approximately four hours each day.
- Office hours will be determined upon hire, with input from the successful candidate to establish a schedule that works well for both parties.
- Primarily sedentary office work with some walking/standing and occasional lifting (up to 20 lbs).
- Occasional bending, reaching, twisting, and repetitive movements.
- Work involves handling sensitive clinical information; confidentiality is essential.
- Compensation aligned with Alberta market rates: $26-$29/hour, depending on experience.
