Ottawa Valley Motorsports is currently in the development stage and is planning for a 2027 dealership opening in Renfrew, Ontario. We are beginning to identify strong local candidates well in advance of opening.
This posting is intended to help us connect with potential candidates for a future full-time position. Final hiring timing will depend on dealership development, financing, property readiness and the opening schedule. Applicants should not assume that immediate employment is available.
Position Overview
Ottawa Valley Motorsports is developing a new full-service powersports dealership in Renfrew, Ontario, with Segway Powersports expected to form the cornerstone of the vehicle lineup.
We are looking ahead for a highly organized, energetic and digitally capable person who can become the front-office hub of the dealership while also helping build and manage our local marketing presence.
This is not a traditional receptionist-only position. The successful candidate will be expected to comfortably move between customer reception, dealership administration, CRM updates, social media, marketplace listings, basic advertising, lead follow-up and day-to-day sales support.
We are looking for someone who enjoys variety, can manage multiple priorities, communicates professionally and is comfortable taking ownership of both administrative and marketing tasks.
Primary Responsibilities
Front Office & Customer Reception
- Greet customers professionally and create a welcoming dealership experience. Answer incoming calls, email inquiries and general customer questions. Direct customers to sales, service or parts as appropriate. Schedule appointments and maintain calendars where required. Assist with customer follow-up and general dealership communication. Maintain an organized, professional front-office environment.
Dealership Administration
- Support customer deal files, deposits, registrations and sales paperwork. Maintain accurate customer records in the dealership CRM/DMS. Enter and update customer leads, follow-up dates and sales activity. Coordinate paperwork between sales, service and management. Assist with warranty registration and manufacturer documentation where required. Maintain organized electronic and physical records. Assist with basic invoice, receipt and vendor-document organization. Support the Dealer Principal and sales team with general administrative tasks.
Finance Broker Coordination
- Help collect customer documentation required for financing applications. Coordinate files and status updates with the dealership's external finance broker. Maintain accurate and confidential finance-related customer records. Track outstanding documentation and help keep customer transactions moving efficiently. Ensure no financing representations are made beyond the employee's authority; all approvals remain subject to lender approval.
Social Media & Content
- Create and schedule regular dealership social-media posts. Help manage Facebook, Instagram and other dealership social channels. Use Meta Business Suite or similar tools to schedule and monitor content. Create basic graphics, promotions and announcements using Canva or similar software. Photograph ATVs, UTVs, trailers, accessories and dealership activity for marketing use. Create short-form photo/video content for social channels. Post new inventory, promotions, events, service offers and dealership updates. Monitor comments, direct messages and customer inquiries and route leads appropriately. Help maintain a consistent Ottawa Valley Motorsports brand voice and appearance online.
Marketplace & Online Listings
- Create and maintain vehicle, trailer, accessory and parts listings on eBay where appropriate. Create and maintain Facebook Marketplace listings. Assist with Kijiji and other online marketplace listings where useful. Upload clear photographs, accurate descriptions, pricing and product details. Keep listings current and remove sold or unavailable inventory promptly. Respond to marketplace inquiries and convert them into properly recorded dealership leads. Track which platforms and listings are generating customer inquiries.
Advertising & Local Marketing
- Assist with Facebook and Instagram advertising campaigns. Help create dealership promotions, event advertisements and seasonal campaigns. Support email marketing and customer-newsletter activity. Assist with dealership website content and inventory updates where required. Promote local dealership events, customer rides, product demonstrations and community activities. Help coordinate partnerships with local clubs, events and community organizations. Track basic marketing results such as inquiries, clicks, leads and conversions. Work with management and outside marketing vendors where required.
Sales & Lead Support
- Ensure all serious prospects have complete contact information recorded in the CRM. Record full name, mobile phone, email, municipality/postal code, product interest, intended use, financing interest, trade-in status, lead source, salesperson and follow-up date. Assist sales staff with follow-up reminders and customer communications. Help maintain manufacturer-generated and dealership-generated leads. Support customer appointment booking and delivery coordination. Help ensure no serious customer lead exists only in an employee's personal phone or social-media account.
Events & Dealership Promotion
- Assist with grand-opening planning and dealership events. Help coordinate local community, ATV-club and powersports events. Create event posts, invitations and promotional content. Assist with customer ride events, product demonstrations and seasonal campaigns. Take photos and video at dealership and community events for future marketing use.
Ideal Candidate The right candidate does not need to come from a powersports dealership, but should be comfortable learning the industry and should genuinely enjoy working with customers, technology and social media.
- Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Ability to multitask and switch comfortably between administrative and marketing work. Professional and friendly customer-service style. Comfort with Facebook, Instagram and online marketplaces. Experience creating social-media content. Comfort taking product photos and basic video. Experience with Canva or similar design tools. Comfort learning CRM, POS and dealership management software. Good Microsoft Office or Google Workspace skills. Ability to work independently and take initiative. Strong follow-through and reliability. Ability to maintain confidentiality when handling customer and financing information.
Experience That Would Be Especially Valuable
- Automotive, powersports, RV, marine, trailer or equipment dealership experience. Administrative coordinator or office-management experience.
Social-media coordinator or digital-marketing experience. Facebook/Instagram advertising experience. eBay seller or marketplace-listing experience. CRM or dealership-management-system experience. Canva, basic graphic design or content-creation experience. Photography or short-form video experience. Customer finance-document coordination experience. Interest in ATVs, UTVs, snowmobiles, motorsports or outdoor recreation.
What Success Looks Like This person will become a central point of coordination within Ottawa Valley Motorsports. Success means the front office is organized, customer messages are answered, leads are recorded, social channels remain active, marketplace listings are current, dealership promotions look professional, and sales/service staff are not losing valuable time to administrative work that can be handled efficiently by this role.
Proposed Compensation
Current planning range: $50,000-$58,000 per year, depending on experience, administrative capability, digital-marketing skills and ability to independently manage the combined responsibilities of the role.
Final compensation, benefits and employment terms will be confirmed closer to the dealership opening.
This range is intended to attract someone capable of performing substantially more than a traditional receptionist role.
Schedule
- Full-time position planned for 2027. Regular weekday hours. Saturday availability will be required as part of a retail dealership schedule. Occasional evening or weekend dealership/community events may be required. Final schedule will be confirmed prior to hiring.
