As the first point of contact for our clients, you will play a crucial role in creating a warm, skilled, and welcoming workplace while ensuring the smooth day-to-day operations of the clinic.If you share our commitment to compassionate, high-quality patient care and outstanding customer service, we would love to welcome you to our team.Position DetailsJob Type:Full-time, PermanentLocation:Surrey, BC (In-person)Compensation:From $19.00 per hour (Competitive compensation based on experience, qualifications, and industry standards)Schedule:Standard clinic hoursKey ResponsibilitiesClinic Operations & AdministrationFront Desk Management:Maintain a clean, welcoming front desk and waiting area; greet all patients respectfully and professionally.Patient Coordination:Check patients in and out, ensuring accurate personal information, appointment details, and required documentation.Communication:Manage phone calls and emails, providing clear, courteous assistance and general information about clinic services.Scheduling:Book, reschedule, and confirm appointments usingHearWareclinic software to ensure accurate schedules.Financial & Insurance Processing:Process payments, issue receipts, and support patients with insurance or third-party documentation. Submit and track claims, following up on approvals or outstanding requirements.Records Management:Prepare, scan, and organize forms and documents while maintaining accurate, confidential patient records in HearWare.Outreach Support:Coordinate outreach visits by preparing intake forms, patient lists,
and required equipment for home and in-clinic appointments.Hearing Aid Services & Patient SupportTechnical Assistance:Assist with basic hearing aid troubleshooting, cleaning, and repairs, including sending devices to manufacturers and tracking their status.Coverage Verification:Review warranties and confirm patient eligibility, coverage limits, charges, and third-party limitations prior to services.Compliance, Privacy & SafetyData Privacy:Protect patient records by ensuring the secure handling, storage, and transmission of personal info underCSHBCandPIPAguidelines.Safety Protocols:Follow all clinic health and safety procedures to maintain a secure environment for both patients and staff.Qualifications & CompetenciesCore CompetenciesCustomer Service ExcellenceProfessionalism & ReliabilityTeam Collaboration & AdaptabilityExperience & EducationExperience:1 year of front desk or receptionist experience is preferred.
