IT Support Specialist – Microsoft 365 & SharePoint
Location: Markham, Ontario
Role Description
We are a growing, engineering consulting firm seeking a hands-on IT Support Specialist to manage our day-to-day technology needs and modernize our Microsoft 365 environment.
The successful candidate will lead the setup and implementation of SharePoint Online to support secure remote work and document collaboration, migrate employees and company information to Microsoft 365, establish reliable backup and recovery systems, and provide responsive technical support to employees.
This position requires someone who can independently manage projects while remaining comfortable helping employees resolve everyday technology problems. The IT Support Specialist will work closely with senior leadership, employees, external vendors, and consultants to build a secure, organized, and dependable technology environment.
Key Responsibilities
Microsoft 365 Migration and Administration
- Plan and complete the migration of employees, email, files, and business information to Microsoft 365.
- Administer Microsoft 365 applications and services, including Exchange Online, SharePoint Online, OneDrive, Teams, Word, and Excel.
- Manage user accounts, licences, security groups, permissions, shared mailboxes, and employee onboarding and offboarding.
- Configure multifactor authentication and appropriate access and security policies.
- Maintain clear documentation of the Microsoft 365 environment, licences, administrative accounts, and system configurations.
SharePoint and Remote-Work Implementation
- Design, configure, and launch a SharePoint Online environment suitable for an engineering consulting business.
- Develop a logical document structure for projects, departments, corporate records, templates, and administrative information.
- Establish document libraries, metadata, naming conventions, version control, retention practices, and access permissions.
- Migrate existing files from local drives, file servers, or other storage platforms into SharePoint and OneDrive.
- Configure secure access for employees working remotely.
- Work with management and employees to understand how documents are currently created, reviewed, approved, stored, and retrieved.
- Train employees on SharePoint, OneDrive, Teams, file sharing, synchronization, version history, and remote-work practices.
- Monitor adoption and resolve file-access, synchronization, permission, and document-management issues.
Backup,
Recovery, and Security
- Assess the company’s existing backup arrangements and identify any gaps or risks.
- Select and implement reliable backup solutions for Microsoft 365, SharePoint, OneDrive, email, servers, endpoints, and other critical systems.
- Establish appropriate backup schedules, retention periods, recovery procedures, and access controls.
- Regularly test data restoration and document the results.
- Maintain documented disaster-recovery and business-continuity procedures.
- Monitor system security, software updates, endpoint protection, user access, and potential vulnerabilities.
- Coordinate with external cybersecurity, software, internet, and managed-service providers when required.
- Support management in responding to security incidents, data loss, or system outages.
Word and Excel Template Support
- Maintain and troubleshoot the company’s Microsoft Word and Excel templates.
- Resolve problems involving formatting, styles, numbering, headers, footers, tables, formulas, links, macros, and compatibility.
- Standardize document templates used for engineering reports, proposals, letters, project tracking, financial reporting, and other business functions.
- Ensure templates work consistently across employees, devices, and Microsoft 365 applications.
- Maintain controlled master copies and prevent employees from unintentionally using outdated templates.
- Provide training and practical guidance to employees on the proper use of templates.
General IT Support
- Provide timely technical support for computers, Microsoft Office applications, printers, mobile devices, networking, remote access, and other business systems.
- Diagnose and resolve hardware, software, connectivity, access, and performance issues.
- Set up computers, software, email, security access, and equipment for new employees.
- Manage technology requirements when employees leave or change positions.
- Maintain an inventory of computers, software, licences, mobile devices, warranties, and other technology assets.
- Coordinate the purchase, configuration, replacement,
and secure disposal of hardware.
- Track support requests, recurring issues, resolutions, and outstanding technology risks.
- Develop straightforward user guides and provide employee training.
- Recommend practical technology improvements that increase productivity, security, and reliability without creating unnecessary complexity.
Qualifications
- Diploma or degree in Information Technology, Computer Science, Systems Administration, or a related field, or equivalent practical experience.
- At least three years of relevant IT support, systems administration, or Microsoft 365 experience.
- Demonstrated experience administering Microsoft 365.
- Practical experience implementing or administering SharePoint Online, OneDrive, Teams, and Exchange Online.
- Experience planning or completing file and user migrations into Microsoft 365.
- Experience implementing and testing cloud and endpoint backup solutions.
- Strong knowledge of Microsoft Word and Excel, including templates, styles, formulas, links, and document-formatting issues.
- Understanding of identity management, permissions, multifactor authentication, endpoint security, and secure remote access.
- Experience troubleshooting Windows computers, printers, networks, and common business applications.
- Ability to manage projects independently and communicate progress, risks, and recommendations clearly.
- Strong documentation, organization, problem-solving, and customer-service skills.
- Ability to explain technical matters clearly and patiently to employees with different levels of technical knowledge.
Preferred Qualifications
- Microsoft certifications relating to Microsoft 365, SharePoint, Azure, security, or endpoint administration.
- Experience with Microsoft Entra ID, Intune, Power Automate, PowerShell, or Power Platform.
- Experience supporting an engineering, architectural, construction, consulting, or other project-based professional-services company.
- Experience managing technical document libraries, engineering reports, project folders, and standardized corporate templates.
- Experience coordinating external managed IT, cybersecurity, or software vendors.
- Familiarity with data-retention, privacy, cybersecurity, and professional-record requirements applicable to Canadian businesses.
Pay: $22.00-$25.00 per hour
