The Role
We're looking for a Legal Bookkeeper & Office Assistant to work closely with and support our Office Manager with the day-to-day bookkeeping and administrative work that keeps our office running smoothly.
This is a varied support role. You'll take on a range of bookkeeping and office tasks currently handled by the Office Manager, with responsibilities assigned based on day-to-day needs, priorities, and your experience. Bookkeeping will be a key part of the role, including transaction posting, banking, accounts payable and receivable, and trust accounting support.
You'll also help with general office administration, HR-related tasks, our Managing Partner's mailbox, and real estate closing reports when time permits.
We're open to candidates at different experience levels, including recent graduates of a Law Clerk or Legal Assistant program. Previous bookkeeping or law firm experience is an asset, but not required. We're happy to provide training to the right person.
What matters most to us is accuracy, reliability, attention to detail, comfort working with numbers, and a willingness to learn.
What You'll Do
Bookkeeping & Accounts
- Record day-to-day transactions and postings, including client payments, office bills, and general ledger entries
- Manage accounts payable and receivable, including invoicing and preparing cheques
- Save and organize bills and financial records in both digital and paper form
- Assist with trust account transactions and record-keeping, including deposits, disbursements, and trust-to-general transfers
- Track client retainers and trust balances
- Prepare and process expense reimbursements for staff and lawyers
- Maintain vendor and supplier accounts, including recurring payments
- Assist with month-end and year-end bookkeeping
- Complete banking runs, including deposits and certifying cheques
Office & Administrative Support
- Assist the Office Manager with day-to-day administrative operations
- Assist with photocopying, scanning, and document assembly
- Order office supplies and assist with vendor relationships
- Coordinate software, equipment, and vendor renewals
- Prepare and maintain HR-related documents and records, including employment documents and vacation tracking
- Help track Law Society of Ontario filing and compliance deadlines and maintain related records
- Help monitor and manage our Managing Partner's mailbox
- Assist with real estate closing reports when time permits
- Scan and organize files for digital storage, including corporate minute books when time permits
- Provide backup reception coverage when our receptionist is away or busy, including answering phones, greeting clients, scheduling appointments, managing incoming and outgoing mail and courier packages
- Support other administrative tasks as directed by the Managing Partner and the Office Manager
- Responsibilities will be assigned based on the firm's needs, priorities, and your experience, and may evolve as you grow into the role.
What We're Looking For
- A diploma or certificate from a Law Clerk, Legal Assistant, or similar legal program is preferred; recent graduates are welcome to apply
- Previous bookkeeping, accounts payable/receivable, or law firm experience is an asset, but not required
- Knowledge of trust accounting and law firm accounting practices is preferred, but not required
- Comfortable working with numbers and financial records
- Strong organizational skills and attention to detail
- Integrity, discretion, and a strong commitment to maintaining the confidentiality of client and financial information
- Tech-savvy and comfortable learning new software; we currently use LEAP, QuickBooks, RealtiWeb, Microsoft 365 (including Outlook, Word, Excel, Teams, and OneDrive), and Adobe Acrobat/Adobe Sign
- Strong communication skills and a willingness to ask questions and learn
- Proactive, dependable, and comfortable working as part of a close-knit team
