The Logistics and Procurement Coordinator will own the end-to-end movement of geophysical field equipment across Fleet's project countries in the region, ensuring crews always have the right equipment, in the right place, on time.

This role is responsible for coordinating international freight, and in particular for navigating the temporary importation processes (such as ATA Carnets and temporary admission permits) that let Fleet's equipment cross borders quickly and legally as projects mobilize and demobilize across the Americas.

Beyond day-to-day coordination, this is a strategic role: the Logistics and Procurement Coordinator anticipates customs and freight risk before it becomes a project delay, builds a reliable network of brokers and carriers across the region, and continuously improves how Fleet moves equipment across borders.

Fluent Spanish is a huge asset given the concentration of projects, customs authorities, and freight partners across Spanish-speaking Latin America. In addition to logistics and customs coordination, the role also owns procurement for the region - sourcing and purchasing field equipment, spare parts, and consumables (including for equipment refurbishment and engineering of new products), managing purchase orders end-to-end, and sourcing local goods and services in-country to support project mobilization.

Role responsibilities

International Freight Coordination

- Coordinate international freight shipments (air, ocean, and ground) of geophysical field equipment across the Americas, from origin to project site, resolving delays as they arise.
- Manage relationships with freight forwarders, customs brokers, and carriers in each project country.
- Prepare and maintain accurate shipping and customs documentation for every shipment (commercial invoices, packing lists, bills of lading).

Temporary Importation Management

- Manage temporary importation processes (e.g., ATA Carnets, temporary admission permits and bonds) for equipment entering and exiting project countries across the region, ensuring full compliance with each country's customs regulations.
- Track re-exportation deadlines closely and coordinate timely equipment return to avoid customs violations or forfeited bonds.
- Maintain audit-ready records for all temporary importation filings.

Procurement

- Source and purchase field equipment, spare parts, and consumables required for Americas project operations, including items needed for equipment refurbishment and engineering of new products.
- Manage the end-to-end purchase order process — raising POs, tracking approvals, and reconciling invoices against deliveries and receipts.
- Source local goods and services in-country (e.g., equipment rentals, consumables, third-party services) to support project mobilization across the region.

Strategic Planning & Risk Management

- Develop and continuously refine logistics strategies that reduce customs delays, freight costs, and project downtime across the Americas.




- Proactively identify regulatory or logistical risks in new or unfamiliar project countries and build mitigation plans ahead of mobilization.
- Build and maintain a trusted network of customs brokers, freight forwarders, and carriers across the region.
- Provide logistics input — routing, lead times, customs requirements, cost estimates — to support new project start-ups and proposals.

Cross-Functional Coordination & Reporting

- Work with Field Operations, Warehouse, and Project teams to align logistics timelines with project schedules.
- Communicate shipment status, customs issues, and emerging risks proactively to the Americas Operations Manager.
- Support budgeting and cost tracking for freight, customs, procurement, and duties-related expenses, and support audits with organized documentation.

General Administrative Support

- Take on light administrative support for the Americas region on an as-needed basis. Occasional, but expected.

Experience and skill requirements

- 3+ years of experience in international logistics, freight forwarding, or customs coordination, ideally supporting operations across multiple Latin American countries.
- Demonstrated experience managing temporary importation processes (e.g., ATA Carnets, temporary admission permits) is strongly preferred.
- Fluent Spanish language skills are a huge asset, given extensive coordination with customs authorities and freight partners across Spanish-speaking Latin America.
- Solid strategic and analytical thinking, with the ability to proactively plan for import/export needs and anticipate bottlenecks before they cause delays.
- Proven experience coordinating international freight (air, ocean, and/or ground) shipments end-to-end.
- Familiarity with customs regulations across multiple Americas jurisdictions is a strong plus.
- Experience with procurement and purchasing processes, including purchase order management, vendor sourcing, and invoice reconciliation.
- Experience sourcing equipment, parts, or consumables to support field operations, equipment refurbishment, or engineering/product development needs is a plus.

Soft Skills

- Excellent organizational skills and attention to detail, particularly around documentation and compliance.
- Strong problem-solving skills, able to react quickly and calmly to customs delays or shipment issues.
- Effective communicator, able to coordinate across field teams, brokers, carriers, and customs officials.
- A proactive, strategic thinker who anticipates issues rather than just reacting to them.
- Comfortable working autonomously across time zones in a fast-paced, evolving environment.

Qualifications

- Bachelor's degree in Logistics, Supply Chain Management, International Business, or a related field preferred (or equivalent practical experience).




- Fluent in English and Spanish (written and verbal) required; Portuguese and/or French an asset for broader regional coverage.
- Experience with ATA Carnet processes and temporary import/export regulations across the Americas strongly preferred.
