THE PROSPECT

Ownership of internal operations, with selective client delivery

Working closely with the CEO, you will translate priorities into coordinated action, run the Executive Operating System, manage public-sector procurement and proposal production, and manage the staff who support the business. Internal operations and Executive OS are the core accountabilities; client delivery is secondary and assigned only when it will not compromise operational coverage, procurement commitments or business continuity.

Your mandate is to build dependable operating capacity around the CEO. You will anticipate what is needed, exercise judgement within your authority and move work through completion. The role calls for someone who can improve a process, write a persuasive proposal, coach a colleague and produce thoughtful client work. You will have room to shape how mBolden operates, with clear accountability for results.

WHAT YOU WILL OWN

Internal operations and the Executive Operating System

– Run the daily and weekly operating rhythm. Translate business priorities into clear commitments, owners, next actions and deadlines; resolve routine issues and prepare focused CEO reviews. For matters requiring CEO input, frame the decision required, relevant facts, options where appropriate, your recommendation, implications and deadline.

– Own Executive OS in Notion as the central system for tasks, projects and priorities. Capture commitments from email, meetings and conversations; connect them to the relevant project or relationship and track them through completion.

– Make accountability visible. Maintain clear views of delegated work, items awaiting CEO input, overdue tasks and commitments owed by others. Set follow-up dates and escalate material risks with a recommendation and the decision required.

– Improve workflows, templates, reminders and approved automations. Check that they work, make failures visible and retain human ownership.

Business operations and portfolio management

– Maintain the engagement portfolio, including deliverables, client dates, dependencies, risks and resource needs. Identify conflicts early and recommend how to sequence work or add support. Maintain operational visibility into planned versus actual resourcing, scope changes, contractor commitments, billing triggers and potential margin erosion; escalate commercial risks with a recommended action.

– Own the integrated business operating calendar across advisory work, speaking, workshops, proposals, procurements, renewals and major internal commitments. Ensure milestones, preparation windows and dependencies are visible and coordinated.

– Manage client administration from signed SOW through onboarding and close-out, including vendor requirements, contract dates, billing milestones, extensions, feedback and follow-up.

– Own the sales-pipeline CRM within Executive OS, separate from the contact database used for email communications.



Ensure every lead and client opportunity has a current stage, owner, next action and follow-up date; coordinate and track CEO-led business-development actions, proposals, renewals and relationship commitments so opportunities continue to move through the funnel.

– Organize records and deliverables in mBolden-controlled systems, linked to Executive OS. Coordinate access and handovers; safeguard client information and firm intellectual property.

Public-sector procurement

– Maintain mBolden’s presence across relevant procurement portals and systems. Keep registrations current, monitor posted opportunities and ensure required supplier information remains up to date.

– Review posted RFPs, RFQs, standing offers and vendor-of-record opportunities. Assess mandatory requirements, strategic fit, delivery requirements, timelines and pursuit effort, and flag potentially relevant opportunities to the CEO for a go/no-go decision.

– Treat each approved pursuit as a managed project. Build and maintain the submission plan, compliance matrix, workback schedule, contributor responsibilities, clarification deadlines, required attachments, approvals and final submission requirements.

– Lead the development and drafting of procurement responses. Translate evaluation criteria and buyer requirements into a clear response structure, gather supporting evidence, coordinate contributors and ensure the final submission is persuasive, complete, internally consistent and responsive to the stated requirements.

– Maintain rigorous quality control over every submission, including mandatory requirements, pricing inputs, assumptions, declarations, references, credentials, attachments and submission instructions.

– Maintain an organized library of procurement materials, including past submissions, boilerplate language, case studies, team biographies, credentials, certifications, references and other reusable evidence.

Direct client proposals and statements of work

– Support the CEO in developing proposals and statements of work for opportunities generated through CEO-led relationships. Translate the agreed opportunity into clear objectives, scope, deliverables, approach, responsibilities, timelines, assumptions and exclusions.

– Coordinate drafting, internal inputs and quality review, and maintain reusable proposals, credentials, case studies and sales materials. Track outcomes and transfer awarded work into delivery planning.

Operations staff and resource coordination

– Manage the Operations Assistant and/or EA, as applicable. Set priorities and standards, delegate complete assignments, coach performance and review completed work.

– Clarify responsibilities across the CEO, manager and support staff. The EA delivers executive support and scheduling; you coordinate business requirements and remain accountable for follow-through.





– Coordinate contractors and workloads, anticipate capability gaps and support recruitment and onboarding. Establish coverage and transfer knowledge when responsibilities change.

Client delivery within your expertise

– Contribute to selected client engagements within your expertise, including owning defined workstreams or projects where appropriate. Work may include research, analysis, interviews, facilitation, operating-model or process design, change support and implementation.

– Produce clear, evidence-based deliverables for executive audiences. For assigned workstreams or projects, manage scope, client communication, deadlines and quality; raise risks and proposed changes early.

– Agree client assignments and capacity with the CEO. Client delivery must not displace the role’s core responsibility for firm operations, Executive OS or procurement and proposal commitments. Capture reusable learning while respecting client confidentiality and ownership obligations.

WHAT YOU BRING An experienced operator who writes well and exercises commercial judgement

We are looking for an experienced operator with strong writing skills, sound commercial judgement and the ability to contribute credibly to consulting work. Your experience may come from professional services, business operations, consulting or a comparable environment where you have owned complex work from start to finish.

– Ownership of business operations or a substantial operational portfolio, with evidence that you have improved reliability, follow-through and the way a team works.

– Experience managing public-sector procurement pursuits end to end, including monitoring procurement portals, interpreting evaluation criteria, coordinating contributors, managing mandatory requirements, drafting responses, quality assurance, submission logistics and post-decision feedback.

– Exceptional executive writing and synthesis. You can take an unstructured executive discussion, meeting record or set of inputs and produce a concise decision brief, proposal, scope of work, client communication or operating document without requiring the CEO to reconstruct the thinking. You distinguish evidence from assumptions and edit for clarity, precision and consistency.

– Practical experience maintaining Notion or a comparable operating system, including a sales-pipeline CRM, portfolio records and shared documentation. You understand how to keep stages, owners, next actions and follow-up dates current as responsibilities and priorities change.

– People-management or team-leadership experience, including delegation, coaching, quality review and constructive performance feedback.

– A defined area of expertise that can contribute to client engagements, supported by examples of analysis, advice, facilitation or implementation you have delivered.

– Comfort with approved AI and automation tools, coupled with careful source checking, human review and respect for confidentiality, permissions and client requirements.

TOTAL REWARDS The salary range for this full-time position is $60,000 - $110,000 per year, and individuals may be eligible to participate in our bonus program. We provide paid vacation.
