Job Summary
We are looking for a friendly, organized, and motivated Medical Secretary / Clinic Administrator & Patient Care Coordinator to join a busy colorectal surgery practice in Oakville for a one-year contract starting in November.
This is a varied position combining medical office administration with direct patient interaction. The successful candidate will also receive training to help manage our B-Pulse pelvic floor therapy program, including educating patients about the treatment and guiding them through their sessions.We are seeking a dynamic and detail-oriented Medical Secretary/Administrator to join our healthcare team.
In this vital role, you will serve as the first point of contact for patients and visitors, ensuring smooth and efficient office operations. Your energetic approach will help create a welcoming environment while managing administrative tasks with precision. You will coordinate appointment scheduling, handle patient records, and support clinical staff to deliver exceptional patient care.

Responsibilities
- Greet patients and provide a welcoming and professional clinic experience
- Answer telephone calls and respond to patient inquiries
- Schedule and coordinate clinic appointments, procedures, operations, follow-ups, and testing
- Manage referrals, incoming reports, correspondence, and medical records
- Communicate with hospitals, family physicians, specialists, pharmacies, and other healthcare providers
- Prepare and organize patient charts and clinic documentation
- Assist with general office organization and day-to-day clinic operations
- Maintain patient confidentiality and comply with privacy requirements
B-Pulse Patient Care
- Receive full training in the clinic's B-Pulse pelvic floor therapy program
- Educate patients about the B-Pulse treatment process and answer general questions
- Prepare patients for their treatment sessions
- Guide patients through the use of the B-Pulse chair
- Schedule treatment programs and follow-up visits
- Help track patient attendance and treatment progress
- Ensure patients feel comfortable, informed, and supported throughout their treatment program
- Assist with the organization and ongoing growth of the B-Pulse program
Experience Previous experience working in a medical office, specialist clinic, or healthcare setting is preferred.

- Be comfortable interacting closely with patients
- Have strong computer and administrative skills
- Experienced with the EMR Accuro is an asset
- Be dependable and able to work independently
- Be comfortable learning new technology and treatment programs
- Have experience with electronic medical records
- Have previous medical secretary or medical office administration experience
Experience with colorectal surgery or pelvic floor therapy is not required. Full training for the B-Pulse program will be provided. Pay: $20.00-$25.00 per hour
