Membership Engagement Coordinator (30 hrs/wk)
Pay: 30 hours per week; C$50,000 - C$55,000 with benefits
Reporting to the Managing Director of BARS, with a dotted-line relationship to the FSF Director of Membership Relations, the Membership Engagement Coordinator supports membership operations, manages CRM (Salesforce) administration and data integrity, and contributes to member engagement across the Flight Safety Foundation and BARS program. The role maintains accurate, consistent, and traceable records across Salesforce, SharePoint, and related platforms while supporting CRM administration, reporting, communications, onboarding, offboarding, renewals, outreach, recruitment, and process documentation for FSF and the BARS program.
The ideal candidate is proactive, highly organized, detail-oriented, and experienced with CRM (Salesforce) and data management. They demonstrate strong communication and relationship-building skills, allowing them to provide excellent member service, support outreach and business development efforts effectively, and contribute significantly to the mission of a global aviation safety organization.
Essential Duties and Responsibilities
Database & Record Management
- Maintain and update records, contact lists, campaigns, and profiles in Salesforce.
- Ensure alignment and reconciliation between Salesforce and other platforms.
- Maintain accurate, structured datasets with full traceability of activities and communications.
- Produce reports and dashboards on membership, engagement, renewals, and data quality.
Members’ Engagement & Support
- Serve as a point of contact for members, responding to inquiries and coordinating with Subject Matter Experts (SMEs).
- Support relationship management by facilitating introductions and follow-ups.
- Maintain accurate and up-to-date contact records, including changes resulting from organizational updates.
- Initiate and track renewal processes, including outreach and supporting materials.
Onboarding & Offboarding
- Manage end-to-end onboarding of recent members, including system setup and orientation.
- Coordinate offboarding processes, including record archiving and stakeholder notification.
- Maintain onboarding/offboarding procedures and supporting documentation.
Outreach & Recruitment
- Build, manage, and track a pipeline of prospective members from initial research and outreach through follow‑up and successful conversion, supporting membership growth targets.
- Research prospective organizations, key decision-makers, business needs, and engagement opportunities to support targeted outreach and business cases.
- Collaborate with the Managing Director and membership team to develop personalized recruitment, renewal, and retention strategies and campaigns.
- Maintain accurate recruitment activity, outreach history, next steps, and pipeline status in Salesforce.
- Communicate membership and program value through direct outreach, industry forums, and events to strengthen engagement and support membership growth.
Events & Communications
- Coordinate with FSF teams on event logistics, planning, communications, and post-event processes.
- Ensure event outcomes and interactions are properly recorded in Salesforce.
- Assist with creating and updating membership sales collateral, promotional materials, and campaign communications.
- Support promotion of related association offerings, including event sponsorships, digital advertising opportunities, and other member engagement opportunities, as appropriate.
Documentation & Process Improvement
- Maintain SOPs, materials, and knowledge-based content for all Salesforce/SharePoint data processes.
- Train staff and temporary hires on data entry standards and the proper use of Salesforce and SharePoint.
Other Duties
- Provide administrative duties that support the work as required.
- Participate in internal meetings and cross-functional initiatives that support membership growth, retention, data quality, and member engagement.
Required Qualifications
- Bachelor’s degree preferred.
- 3+ years of experience in CRM administration or data management roles.
- Hands-on experience with Salesforce, SharePoint, Microsoft 365, or similar platforms.
- Experience supporting or leading membership recruitment, sales outreach, or business development activities, ideally in a nonprofit or association environment.
- Strong attention to detail, organizational skills, and analytical ability.
- Proven ability to maintain accurate, high-quality data.
- Excellent written and verbal communication skills.
- Customer-focused, with strong stakeholder relationship skills.
- Proactive, reliable, and able to work independently while managing multiple recurring processes.
- Ability to collaborate effectively with cross-functional teams and external stakeholders.
- Bilingual in English and French (Spanish considered an asset).
Travel Requirements · Ability to travel approximately 25%, including international travel, to support BARS and FSF events, member engagement activities, and industry forums.
