The head office is located in Vancouver, BC, while operations crews operate around the world, with high numbers distributed throughout North America.The RoleThe Administrative Assistant supports remote water treatment plant Operations Teams, providing day-to-day administrative and organizational support. This role ensures smooth office operations, facilitates communication across departments, and helps maintain efficient workflows. The ideal candidate is detail-oriented, proactive, and capable of managing multiple priorities in a rapid-paced environment, and may also be familiar working in businesses where the workload has seasonal peaks re: time management.DutiesProvide onboarding support for all new employees working within/seconded to the operations group across North America, these duties include:Coordination of third-party training (First Aid, Fit for duty etc.)Manage initial kit out PPE (Safety Vests, Jackets, Hard Hats etc.)Pre-access requirements for site (Orientations, Drug & Alcohol Testing, etc.)Assist supervisors and managers coordinate employee rotation schedules, ensuring we meet project demands and coverageProcess operator expenses (i.E. collect receipts and file expenses) on behalf of employeesCoordinate travel and accommodations to complete bookings for operationsAct as single point of contact for operators, this individual will:Coordinate with site travel bookingsCoordinate with corporate travel agentAct as single point of contact for any corporate support-related questions and redirect as needed (benefits, expenses, etc.)Maintain and organize operations files, records,
and documentation (both digital and physical)Maintain training records, certifications, and compliance documentation for operationsAssist with the preparation of reports, presentations, and operational documentsServe as a point of contact for internal and external communicationsCoordinate site office supplies, equipment, and vendor relationshipsTrack and follow up on tasks, deadlines, and action items for the teamMinimum Eligibility RequirementsFluent in French and English - mandatory to support sites in different provincesMinimum 2+ years of experience administratively supporting remote sites and staff, preferably relating to industrial operations environmentsHigh school diploma or equivalent (Associate’s or Bachelor’s degree preferred)Proficiency in Microsoft Office (Word, Excel, PowerPoint) and/or Google WorkspaceStrong organizational and time-management skillsExcellent written and verbal communication abilitiesAbility to handle confidential information with discretionStrong attention to detail and problem-solving skillsWorking EnvironmentTypically office-based or hybrid; only considered with long-term remote experience in a directly comparable roleConsiderable portion of work to be completed on the phone (company provided)Adaptability required to accommodate flexible and/or changeable hours during seasonal peaks to respond to urgent requests e.G., occasionally customizing shift hours by working early mornings/evenings/weekends during summer months, as neededBenefits and Compensation$50-65k CAD annual salaryManulife healthcare on date of hireBonus company-funded healthcare spending account on probation completion1-5% GRRSP matching on probation completionUp to $1,000 annually in education matching for skills development upon one year of servicePlease note, due to high application numbers, BQE may only respond to shortlisted candidates but thank all applicants for their interest in our organization.#J-18808-Ljbffr
