Medical Office Assistant (MOA) – Part-Time Neurology Office

Location: Whitby Health Centre, 198 Des Newman Blvd., Whitby, ON – 4th Floor

Job Type: Part-Time

Hours: Approximately 26 hours per week

Schedule: Tuesday, Wednesday, Thursday and Friday (3.5 days per week)

Compensation: $21.31–$24.60 per hour

Expected Start Date: September 2026

About the Opportunity

Oshawa Clinic Group is seeking a highly organized, professional, and detail-oriented Medical Office Assistant (MOA) to join our Neurology Office at the Whitby Health Centre.

This is an excellent opportunity for an experienced MOA who enjoys working in a specialized clinical setting and providing high-quality, patient-centred service. The successful candidate will play an important role in supporting the daily operations of the office while ensuring patients receive professional, compassionate, and efficient service.

Key Responsibilities

- Serve as the first point of contact for patients and provide professional, compassionate assistance throughout their visit.
- Schedule and re-schedule patient appointments, clinics, and procedures.
- Confirm appointments and communicate with patients by phone and in person.
- Process new referrals and related documentation.
- Accurately collect, verify, and update patient demographics, health records, and referral information.
- Take and record patient vital signs as required.
- Prepare examination rooms for patient appointments.
- Assist with billing and other administrative duties.
- Complete faxing, scanning, filing, inventory tracking, and organization of reports and documentation.




- Maintain accurate and timely documentation within the EMR and other computer systems.
- Maintain strict patient confidentiality and comply with PHIPA and applicable privacy legislation.
- Work collaboratively with the physician and clinic team to support efficient patient flow and high-quality service.
- Adapt to changing priorities and operational needs within the office.

Qualifications
- Completion of a recognized Medical Office Administration Diploma or equivalent.
- Previous experience working in a medical office is preferred.
- Previous experience in a specialist or neurology office is considered an asset.
- Experience with EPIC or other EMR systems is considered an asset.
- Strong knowledge of medical terminology and medical office procedures.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Excellent attention to detail and data-entry accuracy.
- Ability to work independently while contributing effectively as part of a team.
- Professional, patient-focused, and respectful approach.
- Ability to maintain confidentiality and handle sensitive patient information appropriately.
- Flexibility to adjust hours based on patient volume and operational requirements.
- Must be available to consistently work 3.5 days per week (Tuesday, Wednesday,



Thursday and Friday).
- Must be legally entitled to work in Canada.

Schedule

Shift times may vary from time to time based on patient volume and operational needs.
