Overview:

We are seeking a friendly, organized, and detail‑oriented Immigration Front Desk Associate to join our team. This role is the first point of contact for clients seeking immigration or visa services and involves managing reception duties, coordinating appointments, assisting with documentation, and ensuring smooth office operations.

Key Responsibilities:

- Greet and assist clients, visitors, and callers in a skilled and courteous manner.
- Schedule and confirm appointments for immigration consultations or document submissions.
- Manage reception area, incoming calls, emails, and walk‑in inquiries.
- Collect and organize client documents; ensure confidentiality of all files.
- Input and maintain accurate client information in internal databases.
- Coordinate client communications regarding case updates, appointments, and follow‑ups.
- Prepare basic correspondence, letters, or receipts under supervision.
- Handle incoming and outgoing mail, courier packages, and file tracking.
- Provide administrative support to immigration consultants and legal assistants.
- Maintain office supplies and ensure the front desk area is orderly and presentable.

Technical & Digital Tasks

- Use Excel for data entry, tracking sheets, and basic reporting.
- Create simple presentations and visual materials using PowerPoint.
- Assist with basic SEO tasks such as updating website content, posting blogs,



or optimizing listings.
- Support office gaming‑related setups (e.g., gaming computer, PS5) for training, media, or promotional use.
- Troubleshoot minor technical issues with office devices when required.

Qualifications:

- Minimum 1 year of experience in a reception, administrative.
- Strong verbal and written communication skills in English; additional languages (Punjabi, Hindi, Spanish, or French) are an asset.
- Proficient in Microsoft Office and basic case management systems.
- Knowledge of immigration processes or previous work in a legal/consulting setting is an asset.

- Reliable, punctual, and maintains confidentiality at all times.
- Adaptable and capable of learning new software and procedures quickly.

Work Schedule:

- Monday to Friday, 11:00 AM – 7:00 PM
- May include occasional extended hours during high-volume periods.

Job Types: Full time, Internship / Co-op Pay: $18.00-$21.00 per hour
