Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
- Handle multi-line phone systems, answering inquiries promptly and routing calls efficiently.
- Perform data entry tasks with accuracy using tools like QuickBooks, Microsoft Office, and Google Workspace to maintain up-to-date records.
- Organize and maintain filing systems—both electronic and paper—to ensure quick retrieval of documents.
- Support bookkeeping activities, including invoicing, billing, and basic financial record keeping.
- Assist with scheduling appointments, meetings, and coordinating office events to promote smooth daily operations.
- Provide exceptional customer support by addressing inquiries, resolving issues promptly, and maintaining positive communication with clients and team members.
- Perform general clerical duties such as proofreading documents, managing correspondence, and maintaining office supplies.
- Support specialized roles such as dental or medical office tasks including patient check-in/out, medical record management, and insurance documentation when applicable.
Experience
- Proven experience in an administrative or clerical role within an office environment is essential.
- Prior experience working with QuickBooks or similar bookkeeping software is highly desirable.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Solid computer skills with the ability to learn new software quickly and troubleshoot basic technical issues.
- Experience handling multi-line phone systems and practicing professional phone etiquette.
- Background in customer service roles with excellent communication skills.
- Knowledge of medical or dental office procedures is a plus for candidates interested in healthcare settings.
- Previous experience in data entry, filing systems, proofreading documents, and supporting front desk operations will set you apart.
