What You’ll Do As part of our office team, you’ll be the backbone of our daily operations, supporting key office and operational functions, including:
- Maintain daily office administration and operations, ensuring an efficient, organized, professional, and safe workplace.
- Coordinate office requirements, including supplies, equipment, seating, mail, café/coffee services, consumables, and general workplace organization.
- Maintain office seating plans, staff sign-in/out records, and other administrative tracking systems.
- Coordinate incoming and outgoing mail and manage the daily operation and servicing of the mailing machine.
- Oversee general facility services, including janitorial, café/coffee, and workplace readiness requirements.
- Coordinate with internal departments and external stakeholders, including vendors, clients, service providers, and key business partners, to support organizational needs.
- Maintain current contact information for key third-party business partners and service providers.
- Prepare and communicate office-wide updates regarding closures, adjusted hours, seasonal schedules, and other operational changes.
- Administer office telecommunications and mobility services,
including phones, extensions, cell phones, MiFis, iPads, and related equipment.
- Coordinate user onboarding and basic support for Vista ERP and other business systems.
- Maintain accurate records of technology users, devices, software licenses, subscriptions, renewals, and related services.
- Coordinate with external IT providers to resolve technical issues and maintain reliable technology systems.
- Manage software licenses, subscriptions, renewals, upgrades, repairs, and replacements to ensure appropriate access and cost-effective utilization.
- Identify and implement improvements to administrative and operational processes and workflows.
- Develop and maintain SOPs, procedures, and documentation for office, technology, telecommunications, security, equipment, and other recurring administrative functions.
- Maintain accurate records and tracking systems to support operational continuity, compliance, renewals, and succession planning.
- Support compliance with applicable regulatory and safety requirements, including audits and reviews as required.
- Manage key vendor relationships, contracts, and service agreements, including IT, telecommunications, janitorial, office supplies, equipment, and facility services.
- Monitor vendor performance, service levels, renewals, and requirements, and address issues or deficiencies as needed.
- Negotiate service arrangements and agreements to support cost-effectiveness, quality, and continuity of service.
- Plan and coordinate office events, meetings, training sessions, staff functions, and seasonal activities, including venues, catering, bookings, communications, and logistics.
- Coordinate annual staff events, including summer activities, the Kids Christmas Party, and Staff Christmas Party.
- Manage Golf Simulator bookings and related staff communications during the applicable season.
- Prepare and communicate annual holiday, office closure, long-weekend, and summer schedule information.
- Oversee office and shop security administration, including access codes, authorized access, security records, and coordination with security providers.
- Maintain inventories and tracking systems for office equipment, technology, telecommunications devices, and other operational assets.
- Coordinate equipment servicing, renewals, upgrades, repairs, and replacements, and proactively identify future requirements.
What We’re Looking For We’re open to candidates at different experience levels, whether you’re a seasoned administrator or ready to grow into the role. Here’s what we’d love to see:
- Post-secondary education in Business Administration, Office Management, or a related field. Equivalent experience will also be considered.
- Minimum of 1 year in office management or a related role, preferably within the construction industry.
- Experience coordinating office technology, telecommunications, facilities, vendors, equipment, events, or administrative systems is considered an asset.
