Position Summary The Operational Administrator plays a critical role in bridging the gap between corporate execution, community governance, and administrative excellence. Serving as the administrative backbone of FLFN Ventures, an Economic Development Corporation (EDC), this position supports the executive team in managing a diverse portfolio of active business ventures, joint partnerships, and strategic investments.
The ideal candidate will balance rigorous corporate administrative discipline with a deep respect for community legitimacy, treaty relationship protocols, and intergenerational wealth creation.
Primary Responsibilities1. Portfolio & Joint-Venture Administration
- Coordinate, track, and maintain essential corporate documentation, shareholder agreements, and compliance records for all band-owned businesses and active joint ventures.
- Assist the executive team in managing multi-party capital stack documents, tracking funding deadlines, and preparing materials for lenders or government loan guarantee programs (e.g., CILGC or provincial equivalents).
- Serve as an administrative liaison between external partners and internal community leadership to ensure reporting frameworks are transparent and delivered on schedule.
2. Governance & Board Support
- Support in preparation and distribution of board packages, briefing notes,
business reports and financial snapshots for FLFN Ventures Board of Directors meetings and Chief and Council updates.
- Maintain strict structural firewalls by ensuring corporate operational documents are systematically archived, confidential, and completely separate from political governance files.
- Coordinate logistics for community engagement sessions, annual general meetings (AGMs), and partner roundtables, ensuring local cultural protocols and traditions are respected.
3. Operational Continuity & Procurement Support
- Support in management of executive calendars, travel arrangements, meetings schedules, and preparation for day to day operations.
- Support in the operations of Ventures owned organizations.
- Support executive staff in partnership development, management and communication to maintain operational effectiveness.
- Streamline day-to-day office operations, including managing corporate registries, tracking business licenses, and maintaining corporate calendars and executive travel schedules.
- Coordinate reporting metrics that evaluate the holistic success of EDC ventures, gathering data on financial performance alongside community employment, procurement spend, and land stewardship initiatives.
Qualifications & Core Competencies
- Education: Degree in Business Administration, Commerce, or a related discipline.
An equivalent combination of education and experience will be considered.
- Experience: 3–5 years of progressive administrative or operational experience, preferably within a First Nations organization, band administration, or corporate environment.
- Indigenous Context Fluency: Deep understanding of the First Nations economic landscape, regional Treaty frameworks, and the unique structure of economic development corporations.
- Corporate Literacy: Experience reviewing or organizing legal agreements, financial term sheets, and board packages.
- Software Fluency: Advanced proficiency with modern office suites (Microsoft 365, Google Workspace) and project management tools.
- Quickbooks: Understanding of quickbooks is beneficial and the ability to use them for management of team schedules.
- Communication Style: Outstanding written and verbal communication skills, with an ability to present complex corporate info clearly and communicate respectfully with both corporate C-suites and community members.
- Discretion: Absolute integrity and proven capability to handle sensitive corporate finance and community data with maximum confidentiality.
Working Conditions
- Standard office environment with standard operating hours.
- Occasional travel to home communities, project sites, or partner offices may be required.
- Willingness to participate in local community events and cultural protocols outside of standard core hours when required
Pay: From $25.00 per hour Expected hours: 40.0 per week
