As our studio grows, we are seeking an organized, ambitious Operations Administrator & Bookkeeper to manage our core financial engine, refine administrative workflows, and oversee operational logistics.

Key Responsibilities
Financial Management & Process Ownership
- Full-Cycle Bookkeeping: Own day-to-day accounting in QuickBooks
, including AR/AP, credit card reconciliations, expense tracking, and ledger accuracy.
- Invoicing & Cash Flow: Execute exact client milestone invoicing, monitor accounts receivable, and track payment schedules.
- Reporting & Year-End Prep: Generate regular balance sheet and P&L; summaries,
tracking project-level profitability and preparing comprehensive year-end audit packages for external accountants.
- Workflow Optimization: Evaluate current bookkeeping and expense tracking systems, identifying and implementing opportunities to automate or streamline processes.
Contract Logistics & Operational Administration
- Contract Lifecycle Management: Organize and track Master Service Agreements (MSAs), Statements of Work (SOWs), Non-Disclosure Agreements (NDAs), and subcontractor agreements.
- Personnel Onboarding: Lead end-to-end logistics for new employees and contractors, including document collection, software setup, hardware distribution, and studio orientation.
- Project Administrative Tracking: Monitor project administrative status alongside team leads to keep deliverables, timelines, and operational reports aligned.
- Centralized Systems: Maintain clean, structured databases for company documentation, vendor relationships, and operational records.
Qualifications & Requirements
- QuickBooks Proficiency: Direct, hands-on experience managing full-cycle bookkeeping, invoicing, and reporting in QuickBooks.
- Administrative Versatility: A background that combines financial bookkeeping with office administration, executive support, or operational coordination.
- Entrepreneurial Mindset: Strong problem-solving skills, curiosity about business operations, and a desire to take ownership of systems rather than just executing routine tasks.
- High Precision: Exceptional attention to detail regarding contractual terms, numerical accuracy, and document organization.
- Location & Citizenship: Current residence in New Brunswick and Canadian citizenship (required).
