Parts Coordinator
Department: Parts / Operations
Reports To: Parts Manager / Operations Manager
Location: Canada
Employment Type: Full-Time
Pay: 65K-72K CAD
Position Summary The Parts Coordinator is responsible for coordinating the day-to-day parts operations for the Canadian business, including parts ordering, inventory management, customer and internal parts requests, order processing, shipping coordination, and maintaining accurate parts records. This position works closely with the Service, Technical Support, Warehouse, Logistics, Sales, and Finance teams to ensure parts are available and delivered accurately and efficiently.
The ideal candidate is highly organized, detail-oriented, responsive, and comfortable working in a fast-paced equipment and aftermarket service environment.
Key Responsibilities
Parts Coordination & Customer Support
· Coordinate incoming parts requests from customers, service technicians, dealers, and internal departments.
· Identify and provide the correct parts based on equipment model, serial number, part number, and technical documentation.
· Prepare and process parts quotations, sales orders, and purchase orders.
· Respond to parts inquiries in a timely and professional manner.
· Maintain solid communication with customers and internal teams regarding parts availability, pricing, lead times, and order status.
· Escalate technical or parts identification issues to the appropriate technical support team.
Inventory Management
· Monitor parts inventory levels and identify replenishment requirements.
· Assist with maintaining appropriate inventory levels based on demand, equipment population, and service requirements.
· Track backorders, special orders, and critical parts.
· Assist with regular inventory counts and investigate discrepancies.
· Maintain accurate parts records, including part numbers, descriptions, pricing, and inventory information.
· Identify slow-moving, obsolete,
or excess inventory and communicate recommendations to management.
Purchasing & Vendor Coordination
· Prepare and submit parts purchase orders as required.
· Coordinate with suppliers and the company's China/global parts teams regarding availability, pricing, lead times, and shipments.
· Follow up on outstanding purchase orders and delayed shipments.
· Review supplier documentation and invoices for accuracy.
· Assist with sourcing alternative parts when required and approved.
Shipping & Logistics
· Coordinate the preparation and shipment of parts orders.
· Work with warehouse and logistics personnel to ensure orders are picked, packed, and shipped accurately.
· Monitor shipments and communicate delays or delivery issues to customers and internal stakeholders.
· Assist with freight coordination and documentation for domestic and international shipments.
· Ensure appropriate documentation is maintained for shipments entering Canada.
Administrative & Operational Support
· Maintain accurate records of parts orders, purchasing activity, inventory, and customer requests.
· Process returns, warranty parts, credits, and related documentation as required.
· Assist with warranty parts coordination in partnership with the Service and Warranty teams.
· Generate parts-related reports and provide information to management as requested.
· Support the development and improvement of parts processes and procedures.
· Ensure all parts activities are completed in accordance with company policies and established procedures.
· Perform other duties and special projects as assigned.

Qualifications
· 2+ years of experience in parts coordination, inventory, purchasing, logistics, customer service, or a related field.
· Experience in heavy equipment, construction equipment, automotive, industrial equipment, or a similar industry preferred.
· Strong organizational and time-management skills.
· Excellent verbal and written communication skills.
· Strong attention to detail and accuracy.
· Ability to manage multiple priorities and meet deadlines.
· Strong customer service mindset.
· Proficiency with Microsoft Office, particularly Excel and Outlook.
· Experience working with an ERP, inventory management, or parts management system preferred.
· Ability to read and interpret parts catalogs, equipment documentation, and serial number information preferred.
· Ability to work independently while also collaborating effectively across departments.

Physical & Work Requirements
· Ability to work in an office and warehouse environment as required.
· Ability to occasionally lift or handle parts and packages within reasonable workplace requirements.
· Ability to work with computers and inventory/ERP systems for extended periods.
· Occasional overtime or schedule flexibility may be required based on business needs.
Pay: $65,000.00-$72,000.00 per year
