We're looking for an experienced Patient Care Coordinator who understands that outstanding patient care starts long before treatment begins. The right person will be a natural relationship-builder, an exceptional communicator, and someone who takes genuine pride in helping people feel welcomed, supported, and cared for throughout their entire experience with our practice.

This is more than a traditional front desk role. We're looking for someone who is proactive, highly organized, and eager to contribute to a growing practice. Someone who notices opportunities, takes ownership, and consistently goes above and beyond for both patients and teammates.

What You'll Do

Create Exceptional Patient Experiences

- Welcome patients and create a warm, professional, and personalized experience.
- Serve as the primary point of contact for patients in person, by phone, email, and text.
- Build meaningful relationships and help patients feel comfortable, informed, and supported throughout their care.
- Anticipate needs and proactively resolve issues before they become concerns.
- Handle patient inquiries and concerns with empathy, professionalism, and care.
- Help maintain an environment that is calm, organized, and hospitality-driven.

Coordinate the Patient Journey

- Manage appointment scheduling,



confirmations, recalls, and patient communications.
- Guide patients through every stage of their care journey, from their first inquiry through treatment completion and ongoing preventive care.
- Maintain accurate patient records and ensure all information is up to date.
- Support seamless communication between patients and the clinical team.

Scheduling & Practice Coordination

- Manage provider schedules to support both an exceptional patient experience and an efficient workflow.
- Proactively fill schedule openings and manage cancellations.
- Coordinate continuing care and recall programs.
- Follow up with overdue and inactive patients.
- Help maintain a productive, organized schedule that supports practice goals.

Treatment & Financial Coordination

- Review treatment plans, estimates, insurance information, and payment options with patients.
- Submit insurance claims, estimates, and predeterminations.
- Verify insurance coverage and assist patients in understanding their benefits.
- Process payments and maintain accurate financial records.
- Follow up on outstanding balances, insurance claims, and unscheduled treatment.

Contribute to Practice Growth

- Respond to new patient inquiries and help convert prospective patients into scheduled appointments.
- Follow up on outstanding treatment recommendations and support treatment acceptance.
- Identify opportunities to improve systems, workflows, and the overall patient experience.
- Assist with projects and initiatives that support the continued growth of the practice.




- Step in where needed and help fill gaps as the needs of the business evolve.

What We're Looking For Qualifications & Experience

- Minimum 3 years of dental administration, treatment coordination, or patient care coordination experience.
- Strong understanding of dental terminology, insurance, billing, and treatment coordination.
- Experience discussing treatment plans and financial arrangements with patients.
- Exceptional communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Comfortable with technology and quick to learn new systems.
- Experience with Oryx dental software is considered an asset.
