About the Role
We are seeking a detail-oriented and highly organized Payroll & Accounting / HR Administrator to manage full-cycle payroll processing and support day-to-day HR operations, while assisting with general accounting activities.
This role ensures compliance with applicable payroll legislation, CRA requirements, and company policies while providing responsive support to employees and leadership.
The ideal candidate thrives in a fast-paced environment, exercises discretion with confidential information, and brings strong working knowledge of payroll administration and HR practices.
Responsibilities
Payroll
- Process full-cycle payroll for hourly and salaried employees.
- Maintain employee payroll records, including new hires, terminations, wage changes, benefits, and deductions.
- Calculate overtime, bonuses, commissions, vacation pay, and statutory holiday pay.
- Prepare and remit payroll taxes and deductions, including CPP, EI, income tax, benefits, and garnishments.
- Prepare ROEs, T4s, and year-end payroll reporting.
- Administer WSIB reporting and reconciliation.
- Reconcile payroll reports and ensure accuracy.
- Respond to employee payroll inquiries.
- Ensure compliance with applicable federal and provincial payroll legislation.
Accounting Activities
- Assist with routine day-to-day accounting activities and administrative support.
- Assist with accounts payable and accounts receivable activities, including invoice processing and payment tracking.
- Perform basic bank and credit card reconciliations.
- Assist with entering and coding invoices and employee expenses.
- Support payroll-related accounting reconciliations.
- Maintain organized and accurate financial records and supporting documentation.
- Assist the Finance team with basic month-end activities and reporting as required.
- Provide general accounting and administrative support as needed.
HR Administration
- Draft employment agreements, offer letters, and contract amendments.
- Maintain employee records and HRIS data integrity.
- Administer benefits enrolment and changes.
- Support onboarding and offboarding processes.
- Track vacation and leaves of absence.
- Support performance management processes, including PIPs, documentation, and policy compliance.
- Assist with policy updates and legislative compliance.
- Provide general HR administrative support to employees and management.
Qualifications
- 3–5 years of payroll administration experience.
- PCP (Payroll Compliance Professional) designation or working toward completion.
- Strong knowledge of Canadian payroll legislation and standards.
- Experience or familiarity with basic accounting activities.
- Experience with payroll/accounting systems such as ADP, Ceridian/Dayforce, Payworks, Paychex, QuickBooks, or similar.
- Proficiency in Microsoft Excel.
- Strong attention to detail and accuracy.
- Ability to handle confidential information with discretion.
- Strong communication, organizational, and time-management skills.
- Ability to manage multiple priorities in a fast-paced environment.
Preferred Experience
- Multi-provincial payroll exposure.
- Commission-based payroll experience, particularly in a sales environment.
- Familiarity with WSIB and EHT reporting.
- Exposure to accounts payable, accounts receivable, and basic reconciliations.
- Knowledge of U.S. payroll would be an asset.
- Familiarity with India payroll compliance would be considered an asset.
