The Role
We're searching for a Payroll & People Services Specialist who shares our commitment to excellence, teamwork, and continuous improvement.
REPORTS TO: People Development Manager
HOURS: Full Time 40 hours weekly
SUMMARY: The Payroll & People Services Specialist is responsible for the accurate administration of payroll, employee benefits, HR systems, and employee support services. This role serves as the primary point of contact for employee payroll and benefits inquiries while also supporting onboarding, HR administration, employee communications, recognition programs, engagement initiatives, and other People Development activities. This role works closely with employees, managers, and external vendors to ensure a positive employee experience through exceptional service, timely support, strict confidentiality, and continuous process improvement.
Payroll responsibilities take priority during payroll processing periods and legislated deadlines.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Payroll Administration
- Administer end‑to‑end payroll processing for all hourly and salaried employees, ensuring accuracy, timeliness, and compliance with federal and provincial payroll regulations.
- Process payroll changes including new hires, terminations, wage adjustments, bonuses, deductions, garnishments, and benefit changes.
- Prepare, review, and distribute payroll reports; maintain accurate payroll records in accordance with legal retention requirements.
- Coordinate payroll tax filings and statutory remittances, including T4 preparation and year‑end reporting.
- Serve as a primary point of contact for employee payroll inquiries; investigate and resolve discrepancies in a timely and confidential manner.
Benefits & HRIS Administration
- Support employee benefit plan administration, including enrollments, terminations, life event changes, reconciliations, vendor communications, and employee inquiries.
- Act as the primary contact for employee benefits questions and support requests.
- Coordinate benefit reconciliations and invoice reviews.
- Maintain employee records within the HRIS and ensure data accuracy.
- Serve as a super user for the Company's HRIS, payroll, and benefits administration systems, supporting reporting, system maintenance, back-end configuration, testing, and continuous improvement initiatives
- Collaborate with the People Development Manager to ensure systems are optimized, compliant, and aligned with organizational objectives and business needs.
- Generate and analyze payroll, workforce, benefits, and HRIS reports to support operational decision-making, compliance requirements, audits, and departmental initiatives.
- Maintain payroll, benefits, and HRIS procedures and documentation; provide guidance and training to managers and employees on system processes as required.
People Development Support
- Coordinate and administer employee leaves including medical leaves, maternity/parental leaves, bereavement leaves, and return-to-work documentation.
- Coordinate new hire onboarding activities and employee orientations.
- Prepare employment letters, service letters, benefit confirmations, payroll documentation, and other employee correspondence.
- Create and distribute employee communications and company announcements.
- Support employee recognition initiatives, engagement programs, company events, surveys, and wellness activities.
- Assist with maintaining job descriptions, organizational records, and personnel files.
- Support recruitment administration as required.
- Maintain bulletin boards, digital signage, employee notices, and communication boards.
- Conduct miscellaneous People Development administrative activities as assigned.
In addition to the duties outlined above, the incumbent may be assigned other related responsibilities as required to support operational and business needs.

WORK ENVIRONMENT
- Working conditions are normal for an office environment, minimal noise with temperature controls.
- Occasional exposure to the manufacturing environment including exposure to seasonal temperature changes, loud noises, and moving machinery.
- Travel between company owned properties may be required.
- Schedule flexibility is required, including occasional weekend, holiday, or adjusted work hours to ensure timely payroll processing and employee support across multiple shifts.
- Use of personal protective equipment (PPE) when in the manufacturing facility to include but not limited to, safety glasses, steel toe foot protection, hearing protection, and hard hats.
QUALIFICATIONS
EDUCATION/EXPERIENCE
- Payroll Compliance Practitioner (PCP) or Certified Payroll Manager (CPM) or a minimum 3-5 years of experience in payroll administration.
- Experience with ADP Workforce Now or a comparable payroll/HRIS platform is strongly preferred.
- Experience administering employee advantages programs, leave management, or human resources administration is strongly preferred.
- Proficient computer skills, including Microsoft Office 365, SharePoint, and mobile technology.
- Advanced proficiency in Microsoft Excel, including data analysis, reporting, and reconciliation functions, is considered an asset.
- Experience in a Manufacturing environment considered an asset.
