This role is responsible for a variety of tasks that could include office reception for guests, general mailroom duties, and scanning, digitizing, uploading, and proper organizing of various documentation at high volumes.The Office Administrator is required to be onsite 5 days per week. This is a temporary 12‑month role.What You Will DoReceptionOffice reception for guests, carrier representatives and advisorsProvide customer service to both clients and advisors via telephone, email, or in personManage centralized email communication and distributionMaintain the cleanliness of common areas such as reception and mailroomMailroomAssist and back up mailroom duties, including preparing incoming and outgoing mail for distribution in a corporate centralized environmentOrganize and file advisor information including policies, mail and transaction confirmations at high volumesOrder and maintain sufficient office suppliesScanning and DigitizingScanning, digitizing, and emailing of various documentation at high volumesUploading and saving scanned documents to shared foldersOrganize and file documents separated by urgent and non‑urgent itemsFiling documents into the appropriate branch folders for processingReview back‑office system as required to confirm advisor information and ensure delivery to the proper branchSend advisor notices through the advisor portal (BSA)Perform periodic quality checksWhat You Will BringFrench comprehension (reading and writing in French)
