Position Overview

Canline Pipeline Solutions is seeking a highly organized and detail-oriented Project Administrator to support our pipeline and field operations.

This is not a traditional office administration role. The Project Administrator will work directly with Operations, Project Coordinators, Supervisors, Safety personnel, customers, and field crews to ensure project documentation, employee qualifications, client requirements, and job packages are complete and accurate.

The successful candidate will play an important role in ensuring projects are administratively and operationally ready before mobilization and that documentation is properly maintained throughout the project lifecycle.

Key Responsibilities

- Review employee tickets, certifications, qualifications, and expiry dates;
- Verify personnel assigned to projects meet client and job-specific requirements;
- Maintain employee qualification and competency records;
- Track upcoming certification and training expiries;
- Complete and process customer forms, questionnaires, prequalification packages, and onboarding documentation;
- Review operational forms, reports, checklists, and field documentation for completeness and accuracy;
- Perform quality-control reviews of project documentation;
- Maintain project files and document-control systems;
- Ensure current revisions of procedures, forms, drawings, certificates, and operational documents are being used;
- Prepare and maintain job documentation packages;
- Assist with pre-job checklists and customer documentation requirements;
- Enter and maintain project information in internal and customer systems;




- Upload documents into customer portals and compliance platforms;
- Assist with purchase orders, material tracking, and project-related purchasing documentation;
- Follow up with supervisors and field personnel regarding missing documentation;
- Review completed field paperwork for missing information, signatures, dates, or inconsistencies;
- Maintain organized records for audits, customer reviews, and internal quality requirements;
- Assist with mobilization and demobilization documentation;
- Assemble project closeout packages;
- Support Operations and Project Coordinators with project tracking and administrative requirements.

Qualifications The ideal candidate will:
- Have strong organizational and document-management skills;
- Demonstrate excellent attention to detail;
- Be comfortable reviewing documentation and identifying missing or incorrect information;
- Be able to manage multiple active projects and competing deadlines;
- Be confident following up with employees, supervisors, and customers;
- Have strong written and verbal communication skills;
- Be comfortable working in a fast-paced operational environment;
- Be proficient with Sitedocs, Fiix, Microsoft Excel, Word, Outlook, Teams, and PDF documentation;




- Be comfortable learning customer portals, training databases, and document-control systems.

Preferred Experience Experience in any of the following would be considered an asset:
- Pipeline or oil and gas operations;
- Industrial construction;
- Project administration;
- Field operations administration;
- Document control;
- Contractor prequalification;
- Employee ticket and certification tracking;
- Quality-control documentation;
- Safety documentation;
- Customer compliance portals;
- Purchasing or purchase-order processing.

Previous pipeline experience is preferred but not required. What Success Looks Like A successful Project Administrator ensures:
- Employee tickets and qualifications are current;
- Customer documentation is complete;
- Job packages are accurate and ready before mobilization;
- Required forms and checklists are completed;
- Documentation deficiencies are identified early;
- Project records are organized and easy to retrieve;
- Field paperwork is reviewed and corrected;
- Closeout documentation is completed promptly;
- Operational personnel are not delayed by missing paperwork or administrative requirements.

This position is an important part of Canline’s operational support team and directly contributes to safe, efficient, and qualified project execution. Pay: $30.00-$36.00 per hour

Expected hours: 40.0 per week
