Role Summary The Project Coordinator supports the Project Management and Site Execution teams in the coordination, documentation, tracking, and administration of active construction projects.

Working closely with the Project Manager, site teams, subcontractors, consultants, and other project stakeholders, the Project Coordinator helps ensure that project information is accurate, documentation is current, action items are followed through, and project activities remain aligned with schedule, scope, cost, and contractual requirements.

The role provides hands-on exposure to project controls, contract administration, change management, procurement coordination, RFIs, submittals, cost tracking, and site execution within a General Contractor environment.

Key Responsibilities

Project Coordination & Administration

- Support the Project Manager with day-to-day coordination of project activities
- Maintain project documentation, logs, trackers, and records
- Track project action items and follow up with internal teams, subcontractors, consultants, and other stakeholders
- Assist with meeting coordination, meeting minutes, follow-up items, and project communication
- Ensure project documentation is organized, current, and easily accessible to the project team

RFIs, Submittals & Technical Documentation

- Assist with preparation, issuance, tracking, and follow-up of RFIs
- Coordinate and track shop drawings, submittals, technical documentation, and consultant responses
- Review drawings, specifications, and project documentation to support coordination activities
- Help identify documentation gaps, discrepancies,



or outstanding information requiring follow-up

Change Management

- Assist with managing design changes, client directives, RFIs, site conditions, and other events impacting the base contract
- Support the creation and documentation of Change Events in Procore
- Assist with issuing RFQs to subcontractors for identified changes
- Track subcontractor pricing, responses, approvals, and outstanding information
- Support the preparation of Potential Change Orders (PCOs), including narratives, pricing summaries, and supporting documentation
- Maintain accurate change logs and cost-impact trackers

Subcontractor & Procurement Coordination

- Support communication with subcontractors regarding scope, documentation, schedules, and outstanding deliverables
- Assist with tracking procurement items, material submissions, lead times, and delivery requirements
- Coordinate required project information between site teams, subcontractors, and suppliers
- Help ensure subcontractor documentation and submissions meet project requirements

Cost & Project Controls Support

- Assist with reviewing subcontractor quotations and cost breakdowns for completeness
- Support basic quantity verification, scope comparisons, and cost tracking
- Maintain project cost, change, and procurement trackers as required
- Assist the Project Manager with reporting, forecasting, and project controls documentation

Site & Internal Coordination

- Maintain regular communication with the Project Manager and Site Execution teams regarding site conditions, sequencing, schedule impacts, and project priorities
- Support coordination between field activities and project documentation
- Assist with communicating approved changes and updated scope information to the site team
- Participate in project and site meetings as required





Reporting & Closeout Support

- Assist with preparation of internal and client-facing project reports
- Track outstanding project documentation and deliverables
- Support project closeout activities, including deficiency tracking, documentation, warranties, manuals, and turnover packages
- Perform other project coordination duties as required to support successful project delivery

Qualifications & Experience

- Diploma or degree in Engineering, Construction Management, Civil Engineering Technology, Architectural Technology, Estimating, Drafting, or a related technical field
- Previous experience in construction, project coordination, estimating, drafting, engineering, or site operations is an asset
- Ability to read and interpret construction drawings, specifications, and technical documentation
- Strong organizational and time-management skills
- High attention to detail and ability to maintain accurate project records
- Strong written and verbal communication skills
- Ability to coordinate effectively with project managers, site teams, subcontractors, consultants, and suppliers
- Comfortable managing multiple priorities in a fast-paced construction environment
- Familiarity with Procore or similar construction management software is an asset
- Proficiency with Microsoft Office, including Excel, Word, and Outlook
- Experience supporting data center, commercial, industrial, or large-scale construction projects is considered an asset

Job Types: Full-time, Permanent

Pay: $70,000.00-$80,000.00 per year
