PROPERTY MANAGER – APARTMENT BUILDING

Position Summary The Property Manager is responsible for the overall day-to-day management of the apartment property, including leasing, rent collection, unit turnover, tenant matters, maintenance oversight, contractors, and residential tenancy administration.

The Property Manager will work closely with the Building Superintendent, who is the primary contact for existing tenants and is responsible for routine maintenance and day-to-day building matters.

Key Responsibilities

Leasing & Unit Turnover

● Advertise upcoming vacancies and respond to prospective tenants.

● Coordinate unit showings with the Superintendent.

● Review applications, complete tenant screening, and obtain required approvals.

● Prepare and execute leases and tenancy documentation.

● Inspect upcoming and vacant units and ensure they are rent-ready.

● Coordinate cleaning, repairs, maintenance, and contractors as required.

● Conduct or coordinate move-in and move-out inspections.

Maintenance & Property Operations

● Work with the Superintendent to identify and prioritize maintenance and repair needs.

● Coordinate outside contractors and obtain quotes when required.

● Regularly inspect the property and identify maintenance or safety concerns.

● Follow up on repairs and work orders to ensure satisfactory completion.

● Coordinate significant or emergency repairs as necessary.

Rent Collection

● Maintain an accurate master rent collection list.

● Monitor rent payments and promptly identify outstanding accounts.

● Coordinate with the Superintendent regarding collection of outstanding rents.

● Maintain appropriate records of arrears, payments, and collection efforts.

● Keep ownership informed of significant or ongoing arrears.

Tenant & Residential Tenancy Matters

● Handle tenant matters requiring management involvement or escalated by the Superintendent.

● Address complaints, disputes, lease violations, and other significant tenancy matters.





● Prepare required tenant notices and administer lawful rent increases.

● Handle Nova Scotia Residential Tenancies matters, including applications and hearings when required.

● Maintain a working knowledge of applicable Nova Scotia residential tenancy requirements.

Administration & Reporting

● Maintain accurate leasing, tenant, rent, maintenance, and property records.

● Review contractor invoices and confirm satisfactory completion of work.

● Ensure significant safety or property concerns are addressed promptly.

● Keep ownership informed of significant vacancies, arrears, maintenance, tenant, and operational matters.

Qualifications & Requirements

● Previous property management, apartment management, leasing, or related experience is required.

● Experience dealing with tenants, maintenance, contractors, and unit turnovers.

● Solid organizational, communication, and problem-solving skills.

● Ability to work independently, manage multiple priorities, and handle difficult situations professionally.

● Must be a team player and work effectively with other Property Managers, Superintendents, management, and staff.

● Good administrative and computer skills.

● Knowledge of Nova Scotia residential tenancy requirements is preferred.

● Valid driver’s licence and reliable personal vehicle are required.

Availability & Reporting The Property Manager must be reasonably available during normal business hours and able to coordinate urgent matters outside regular hours when necessary. The Superintendent will generally be the first point of contact for building emergencies.

The Property Manager reports directly to the Property Owner or designated senior management.

Overall Expectations The Property Manager is expected to be proactive, organized, and professional, follow matters through to completion, and keep ownership appropriately informed.

The overall objective is to ensure the property is well maintained, efficiently operated, appropriately occupied, and professionally managed

Pay: $45,000.00-$52,000.00 per year
